Responsibilities

ABOUT THE ROLE

We are a large-scale civil excavating company with a diverse fleet of heavy equipment, on-road trucks, and support units. The Service Writer will be responsible for accurately preparing and managing work orders for three shop locations. This role ensures all repair and maintenance tasks are clearly documented, properly coded. Before submitting any paperwork, the Service Writer must review all entries for accuracy, completeness, and compliance with internal procedures. This dynamic role requires a highly organized person who is mechanically inclined, with a 310T, or equivalent skills, knowledge and certification, and ready to lead the daily operations of a high-performance fleet service shop. If you thrive in a fast-paced, safety focused environment, and can own the full cycle of repair coordination and fleet dispatch, this role may be for you!

KEY RESPONSIBILITIES:

  • Act as the Primary Service Writer for the full company fleet – logging, tracking, and scheduling all repair orders, maintenance work, and inspections.
  • Coordinate Technicians and Vendors, ensuring the right jobs are assigned to the right people with clarity, urgency, and precision.
  • Dispatch – Schedule and assign trucks to job sites. Communicate with drivers to provide detailed instructions and route guidance.

· Additional Areas of Support and Collaboration

  • Monitor Shop Workflow and act as the central communicator between operations, dispatch, and maintenance teams.
  • Prioritize Safety & Efficiency — Working with the safety dept to help with the challenges and assumptions, question delays, and help improve the system, not just react to it.
  • Ensure Accurate Repair Documentation — complete work orders, source parts, and keep maintenance logs to support audits, warranty recovery, and legal compliance both Ontario and Canadian legislation.
  • Working with Finance – assisting the finance team with ERP’s and invoices.
