JOB SUMMARY

To provide an internal administrative support service to our Operational teams, in relation to the progressing cases post settlement. The settlement team will deal with the administrative aspects of cost schedules, billing, sales reserve management and the recovery of fees on cases, to drive efficient collection of fees and the closure of cases.
The team will be collectively responsible for delivery of internal service level agreements set up to support with achieving overall business objectives.
Each settlement assistant within team will be responsible for a set allocation of individual file handlers and all costs cases that arise from their individual case loads.

Responsibilities

· Liaising with the departments and external suppliers in relation to invoices.
· Managing key stakeholders such as file handlers, leadership and finance colleagues.
· Ownership of cases by allocation of file handlers and ensuring progression of individual cases in a timely manner.
· Drafting Without Prejudice Schedule of costs.
· Processing of financial information and invoices.
· Processing and payment of disbursements along with negotiating reductions on these fees
· Financial procedures relating to reconciliation and payment activity.
· Proactively pursue outstanding costs via telephone with third parties and having challenging conversations.
· Data interrogation, numeracy reconciliation and ability to use Microsoft Office.
· Administering generation of costs enforcement procedures and correspondence.
· Electronic data inputting and data reconciliation.
· Archiving, scanning, photocopying.
· Correspondence processing and replying.
· Facilitate internal bill approval and signature processes within designated timescales.
· Maintain and update the case management system.
· Ensure bills internal approval procedures are completed.
· To undertake any other tasks as deemed relevant and reasonable by the business.
