Position: Documentation Support Staff – Shipping & Logistics

JOB DESCRIPTION:

We are seeking a detail-oriented and experienced Documentation Support Staff to join our operations team. The ideal candidate will have solid knowledge of import/export documentation, especially in the Dubai shipping and logistics environment, and should be capable of handling end-to-end coordination related to shipments and customs compliance.

REQUIREMENTS:

  • Minimum 2 years of experience in shipping documentation or similar operations support role.
  • Fluent in Hindi and English – both spoken and written.
  • Knowledge of Dubai Trade platform, customs clearance procedures, and standard shipping forms (Invoice, Packing List, BL).
  • Familiarity with GCC shipping & logistics regulations is a plus.
  • Strong coordination, communication, and document management skills.

PREFERRED SKILLS:

  • Experience with containerized cargo, consolidation shipments, or freight forwarding.
  • Good computer literacy (MS Word, Excel, PDFs).
  • Ability to work under pressure and meet document deadlines.

Responsibilities
  • Prepare and process shipping documentation for both import and export shipments.
  • Handle Dubai Trade manifest filing, Delivery Order (DO) submissions, and release procedures.
  • Coordinate with shipping lines, freight forwarders, and agents to obtain NOC, DO, ETA, and vessel details.
  • Liaise with exporters and importers to collect and verify all required documents to ensure full compliance.
  • Manage follow-ups related to BL approvals, shipment clearances, and document releases.
  • Work collaboratively with colleagues and internal teams to ensure smooth document flow.
  • Knowledge of BOE (Bill of Entry) submission and customs token system for documentation handling.
