JOB OVERVIEW

We are seeking a detail-oriented and organized Shipping Coordinator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the efficient operation of our shipping and receiving processes. This position requires a strong understanding of warehouse distribution, order fulfillment, and the ability to work collaboratively in a fast-paced environment.

QUALIFICATIONS

  • Previous experience in shipping, receiving, or warehouse distribution is preferred.
  • Proficiency in operating forklifts and reach trucks is highly desirable.
  • Excellent attention to detail with a focus on accuracy in all aspects of shipping operations.
  • Strong communication skills to coordinate with various departments effectively.
  • Superior telephone manners and strong interpersonal skills.
  • Excellent computer skills.
  • Familiarity with GSuite is an asset.
  • Knowledge of Sage Business Cloud X3 is an asset.
  • Online shipping, tracking and receiving experience utilizing FedEx, UPS, Purolator and DHL.
  • Prior experience generating waybills and bills of lading for domestic and international shipments.
  • Good organizational, time management and prioritizing skills.
  • Strong work ethic and positive team attitude.
  • Ability to multi-task and deliver tight deadlines.

Responsibilities
  • Coordinate and oversee all shipping and receiving activities to ensure timely delivery of products.
  • Manage order fulfillment processes, ensuring accuracy in picking, packing, and shipping orders.
  • Maintain accurate records of shipments, including tracking information and delivery confirmations.
  • Conduct regular inventory checks and assist in maintaining an organized warehouse environment.
  • Generate all shipping and customs paperwork for domestic and international shipments and maintain adequate records for reporting and tracking
  • Study shipping notices, bills of lading, invoices, orders and other records to determine shipping priorities, work assignments and shipping methods required to meet shipping and receiving schedules.*
  • Co-manage the scheduling of our daily transportation needs with different carriers/couriers that optimizes service and cost.
  • Manage and resolve any cases of missing documents, shipments and deliveries.
  • Keep an up to date carrier corrective action log and provide recommendations to mitigate issues.
  • Manage order and BOL distribution and invoice element tracking for our 3rd party logistics division
  • Sort AR paperwork
  • Generated complete, accurate, and timely sales invoices using our ERP system. *
  • Correct entries on invoices for discrepancies in price, quantity of goods, and total amounts.
  • Produce legible, digital copies of documents for record retention purposes.
  • Ensure the strict confidentiality and privacy of all data as it relates to the organization and its business partners.
  • Liaise with the sales and operations teams to improve the customer experience.
