Description Role Overview We are looking for a highly organized Shipping & DOT Compliance Clerk to handle the daily execution of our outbound logistics. Your primary responsibility is to ensure that every shipment leaving our facility is accompanied by a legally compliant Bill of Lading (BOL) that meets all Department of Transportation (DOT) requirements for hazardous materials. You will also serve as the point of contact for scheduling carrier pickups and managing our daily dock schedule. Key Responsibilities BOL Preparation & DOT Compliance Generate accurate Bills of Lading (BOL) within NetSuite for all daily outbound shipments. Ensure all hazardous materials are correctly identified using the ISHP sequence (ID Number, Shipping Name, Hazard Class, Packing Group). Verify that the "HM" (Hazardous Materials) column is correctly marked for all regulated products. Ensure the correct Emergency Response Phone Number and provider (e.g., CHEMTREC) are clearly listed on all shipping documents. Cross-reference Section 14 of the Safety Data Sheets (SDS) to ensure chemical descriptions match physical shipments. Outbound Scheduling Coordinate daily pickups with LTL (Less-Than-Truckload) and Full Truckload carriers via phone or carrier portals. Maintain the facility’s Dock Calendar to prevent congestion and ensure a smooth flow of traffic. Prepare all secondary shipping documents, including packing slips and pallet labels. Confirm that drivers have the proper credentials and that their vehicles are capable of transporting our specific chemical classes. Record Keeping File and maintain digital and physical copies of all signed BOLs for audit readiness. Update order statuses in NetSuite to ensure the sales and customer service teams have real-time visibility. Requirements Basic Qualifications Experience: 2+ years in a shipping/receiving role, specifically within a chemical or manufacturing environment. Knowledge: Familiarity with 49 CFR (DOT) regulations. Software: Previous experience using NetSuite or a similar ERP system is highly preferred. Attention to Detail: Must have a high level of accuracy; errors in this role can lead to significant fines or safety risks. Communication: Ability to communicate clearly with truck drivers, warehouse staff, and office personnel.
