Description OKSI is looking for a sharp, reliable Shipping, Receiving & Administrative Coordinator to own the daily flow of our operations, from the loading dock to the inbox. This is a dual-function role that blends warehouse logistics with administrative support, and it's a great fit for someone who takes pride in keeping things organized, accurate, and moving. You'll work directly with staff, vendors, carriers, and leadership. Your work will touch everything from inbound shipments to travel itineraries, and you'll be the person people count on to make sure nothing slips through the cracks. What You'll Do Receive, inspect, and log incoming shipments, verifying contents against POs and packing slips, and prepare outgoing shipments via UPS, FedEx, and freight carriers Maintain an organized warehouse and receiving area, tracking inventory and flagging discrepancies, shortages, or damaged goods promptly Coordinate with vendors and carriers to resolve shipping issues, delays, and claims, and keep internal stakeholders informed on shipment status Enter and maintain inbound/outbound shipment records in Odoo ERP with accuracy and timeliness Ensure compliance with applicable shipping regulations, export/import documentation requirements, and safety standards Process and track purchase orders, vendor invoices, and procurement requests; assist with vendor sourcing and maintaining supplier records Support expense report processing and reconciliation of corporate card statements in compliance with company policy Coordinate domestic and international travel arrangements including flights, hotels, ground transportation, and itineraries for staff as directed Provide general administrative support including scheduling, calendar management, correspondence, filing, and meeting preparation Requirements What We're Looking For 2+ years of experience in shipping/receiving, warehouse operations, or a comparable role 1+ years of administrative or office support experience Proficiency in Microsoft Office Suite and Google Workspace Hands-on experience with UPS, FedEx, or freight shipping platforms Strong attention to detail and accuracy in documentation and data entry Excellent organizational skills and the ability to manage multiple priorities at once Clear written and verbal communication skills across all levels of the organization Ability to lift up to 30 lbs and stand for extended periods in a warehouse environment Nice to Have Experience with ERP or purchasing systems (Odoo, SAP, or QuickBooks a plus) Familiarity with corporate travel booking tools and workflows Background supporting expense reconciliation or procurement Experience in a technology, defense, or engineering company environment Education High school diploma or equivalent required. Associate's or bachelor's degree preferred. You'll split time between our warehouse/receiving area and office environment. The work is physical at times, so expect standing, walking, and lifting alongside standard desk work.
