JOB DESCRIPTION

The Shop Floor Supervisor role at the Portland Art Museum plays a pivotal leadership role in the daily operations of the Museum Shop, serving as the primary floor presence and a key support to the Assistant Retail Buyer. This position is responsible for ensuring consistent implementation of visual merchandising standards, sales strategies, and customer service practices aligned with the Museum’s mission and values. The Floor Supervisor coaches and mentors sales associates on effective engagement techniques, fosters a culture of confident selling, and ensures the highest level of guest experience. Key responsibilities include managing weekly staff schedules, overseeing the POS system and daily reconciliations, and responding to customer concerns in real time to maintain a smooth and welcoming retail environment.

Responsibilities

IN THIS ROLE, YOU WILL

Lead Daily Shop Operations

  • Serve as the lead floor presence, supporting the Assistant Retail Buyer by ensuring visual standards, merchandising plans, and sales strategies are consistently implemented
  • Supervise shop opening and closing procedures, ensuring smooth day-to-day operations and exceptional customer service
  • Maintain overall housekeeping, visual appeal, and organization of the shop, including pricing of freight and timely product display updates

Sales Team Leadership

  • Recruit, supervise, train, and motivate floor sales staff
  • Create and manage weekly staff schedules based on expected foot traffic, events, and holidays to ensure adequate coverage
  • Coach and mentor staff on customer engagement techniques in alignment with the Shop’s Sales Book, fostering a confident, mission-aligned selling culture
  • Provide real-time feedback and guidance to support team performance and address service issues

Customer Service & Point of Sale

  • Act as a key point of contact for resolving customer concerns and enhancing the overall guest experience
  • Operate and oversee the POS system, ensuring accurate sales processing, daily reconciliation, and register function proficiency among staff
  • Guide the team onsite to achieve daily sales goals and support special projects

Inventory & Stock Management

  • Supervise the restocking process carried out by the sales team and ensure merchandise is consistently available on the floor. Oversee stockroom organization by making sure storage areas are logical, clearly labeled, and free of clutter. Hold the team accountable for returning supplies to designated areas, discarding empty boxes, and maintaining a clean, orderly environment for efficient operations
  • Track incoming inventory, ensuring timely display and integration into both in-store and online platforms
  • Proactively communicate reorder needs and issues requiring escalation to the Assistant Retail Buyer

Administrative & Compliance Tasks

  • Responsible for accurate and timely processing of shop staff timecards
  • Manage daily sales reconciliation and cash handling in compliance with financial protocols
  • Maintain strong product knowledge across thousands of SKUs and adapt quickly to merchandise changes

ADDITIONAL (SECONDARY) RESPONSIBILITIES:

  • Support inventory management by helping with restocking, backstock organization, and periodic inventory counts
  • Contribute to seasonal merchandising updates and special display projects in coordination with the retail team
  • Collaborate with other departments during events or member previews to ensure seamless shop operations
  • Stay informed about Museum exhibitions and programs to support product relevance and guest engagement
  • Performs other related duties as assigned

SUPERVISORY RESPONSIBILITIES:

  • Provides daily oversight and guidance to Shop Sales Associates, serving as the lead on the floor to ensure smooth operations and mission-aligned customer service
  • Holds direct supervisory responsibility for Sales Associates, including recruitment, onboarding, training, mentoring, coaching, and performance support
  • Oversees staff scheduling and maintains accurate records related to timekeeping and floor coverage
  • Performs daily cash reconciliation and coordinates secure money drops in compliance with PAM cash handling policies
  • Maintains inventory tracking records as directed, supporting the Assistant Buyer with restocking and reordering needs
  • Makes operational decisions within established PAM policies and procedures; collaborates with the Assistant Retail Buyer and Head of Retail on customer service escalations and other situations requiring higher-level judgment or policy interpretation

TO BE SUCCESSFUL IN THIS ROLE, YOU HAVE THESE REQUIREMENTS

  • Minimum of 2–4 years of successful experience in retail, with at least 1–2 years in a supervisory or team lead role
  • Demonstrated experience using point-of-sale systems and performing end-of-day sales reconciliation
  • High school diploma or equivalent required; additional training or coursework in retail management, customer service, or visual merchandising is a plus
  • Strong customer service, conflict resolution, and real-time problem-solving skills, with the ability to model and guide team behavior on the floor
  • Ability to motivate, coach, and mentor staff to foster a mission-aligned, sales-driven, and inclusive work environment
  • Excellent organizational skills with the ability to manage multiple priorities, including scheduling, inventory support, and floor operations
  • Experience in staff recruitment, onboarding, training, and performance management
  • Discretion and professionalism in handling sensitive personnel and customer situations
  • Clear, confident verbal and written communication skills; comfort engaging with diverse teams and guests while centering equity and inclusion
  • Ability to work independently while maintaining alignment with collaborative leadership from the Assistant Retail Buyer and Head of Retail
  • Proficient in general computer use, point-of-sale systems, and basic math for reconciliation and sales reporting
  • Familiarity with visual merchandising, display layout, and maintaining brand consistency across in-store and online platforms
