Supervisors primary goal should be to keep their shops running smoothly, update other baristas on new information, and to teach the newer girls how to do their jobs correctly. They should report all shop happenings to upper management. Supervisors should also foster an environment of openness, trust, helpfulness, and responsibility. Supervisors should feel confident in their understanding and ability to relate company policy, product and pricing knowledge and promotional events to customers and employees.
The baristas should feel comfortable in approaching their supervisor with any type of questions. They should also feel accountable to their supervisor and know that their performance involving closings, side work and customer service are being observed and noted by their supervisor.
Bi-Weekly Email: This email will be due by 5pm on the same Friday as payday.. In it you should include a brief report of your interaction with EACH employee and any corrective action taken for behavioral problems. Let us know how closes have been, what the girls are feeling and customer feedback on them.
Bank Deposits: Bank deposits must be done on Tuesdays and Thursdays for grizzly security to pick up. If you are gone, another supervisor must do your deposits for you.
Follow-ups: During the first few weeks of a new hire’s time with us, the supervisors should establish a supportive working relationship with the new girls. Spend a few minutes at shift change to get to know them. Encourage them to talk to you about any concerns they might be having or that have arisen during their first few solo shifts.
Supervisor Meetings: Attendance at Supervisor Meetings are mandatory. It is during these meetings that we brainstorm as a group and share our collective knowledge to problem solve and swap good ideas. Ideally, Nate would like each supervisor to come prepared with an idea, question, concern or story to share and discuss with the group.
The information decided at these meetings is prepared into a concise handout for each of the shops. It is your duty as a supervisor to make sure the employees who pass through your shop are aware of this information. In some cases this will mean stopping by on a weekend to talk to baristas at your shop who only work weekends. As a supervisor, you should have a firm understanding of the information so that you can answer questions. Follow up with your district manager if you are unsure of anything.
Shop Meetings: Shop meetings will be held quarterly. It is required that the supervisor hold these meetings within the same week of the Supervisor Meeting. This is to be held after hours in the shop. Be sure to include all information received in the month prior. This will include but is not limited to information given in the Supervisor Meetings, Newsletters, and Information given to you directly from your District Manager, Sam J. or Nate.
Shop Standards: It is the responsibility of the supervisor to keep the shop in compliance with Florence Coffee co. standards of cleanliness. This includes making sure that all shift change duties, closing duties, weekly chores, etc. are completed by all employees. This also includes making sure all log sheets and daily chores sheets are kept up to date.
Supervisor/ Employee Interactions: As a supervisor, you need to ensure the baristas at your shop are doing their jobs correctly. You need to correct poor performance and behavior immediately. For example, if you see the barista not timing their shots, you must intervene and make sure the barista begins timing their shots from that point forward. Provide in your bi-weekly email the behavior being corrected and the corrective action you have taken.
Warnings: As the supervisor of a shop if you see another barista doing something incorrectly you should remind them of the proper way to do things. However, if bad habits or behavior persist, you have the authority to issue a verbal or written warning. Make sure to include such warnings in your email report. Before issuing a warning, be sure to make your district manager aware as well. If behavior doesn’t change after the warnings, your district manager can be asked to step in and issue a write-up. If a written warning has been issued, please take a picture and include it in the bi-weekly email.
