Description Position Summary The Showroom Coordinator is responsible for delivering a professional, organized, and high-quality customer experience in our Mid-Michigan Gallery. This role manages all homeowner-facing traffic in the showroom, guides customers through the material selection process, handles retail orders that originate from the gallery, and ensures accurate documentation for quoting and project tracking. In addition, the position oversees sample inventory, ordering, and distribution for both the showroom and partner gallery locations. Requirements Key Responsibilities Customer Experience & Retail Project Handling Greet and assist homeowners, walk-ins, and scheduled appointments, ensuring a premium showroom experience. Guide customers through countertop materials, selections, finishes, edges, sinks, and accessory options. Collect project information, measurements provided by customers, and required details to prepare quotes. Handle all retail sales originating from the gallery, including entering customer information, preparing paperwork, coordinating deposits, and directing projects into the production workflow. Follow standardized pricing guidelines and ensure all documentation is complete before handoff to estimating or project management teams. Communicate timelines, expectations, and next steps clearly to retail customers. Showroom Operations Maintain a clean, organized, and professional showroom environment at all times. Manage the appointment calendar and ensure the gallery is prepared for each customer visit. Ensure displays, product boards, signage, and literature are updated and aligned with current offerings. Sample Inventory Management Oversee all showroom sample inventory, including ordering, receiving, and organizing new samples. Maintain accurate counts of sample boards, loose samples, and marketing materials. Manage sample check-out and return tracking for homeowners and dealers. Coordinate the distribution of samples to field sales representatives as needed. Coordination with Other Galleries Monitor sample inventory levels for partner galleries or satellite locations. Place replenishment orders and coordinate delivery to those sites. Communicate with internal teams and reps to ensure displays are up to date and consistently presented. Track sample usage trends to forecast ordering needs and avoid shortages or overstocking. Administrative & Internal Support Assist with data entry, scanning, printing plans, and uploading documents into internal systems. Support estimating, sales reps, and project managers by providing accurate customer selections and notes. Help coordinate small events, dealer visits, and training sessions hosted in the gallery. Qualifications Experience in customer service, showroom support, or design assistance preferred. Strong organizational and communication skills. Ability to manage multiple tasks with accuracy and professionalism. Comfortable learning product details and explaining materials and finishes. Proficient with computers and business systems (CRM, scheduling tools, email platforms). Strong attention to detail in documentation and follow-through. Work Environment & Schedule Based in the Mid-Michigan Gallery. Standard business hours with flexibility to support showroom traffic. In-person role requiring daily interaction with customers, sales reps, and internal teams.
