ABEC’s products include process and equipment engineering/consulting services, comprehensive site services, and stainless steel and single use bioprocess equipment, including bioreactors and fermenters, filtration and chromatography systems, prep and hold systems, and cleaning/sterilization systems. Position Summary: The Site Administration role is responsible for manning reception, as well as performing site administration to support the Wilson facility and Project & Service personnel working in the area. Responsibilities: Answer and direct phone calls. Review incoming mail and ensuring it gets to the appropriate recipient in a timely manner. Manage Reception area, receiving visitors and customers ensuring site log in and safety induction etc. is performed and recorded appropriately. Organize and schedule meetings, appointments and interviews. Arranging lunches, PPE, and safety inductions. Assist in the preparation of regularly scheduled reports for Manufacturing, EHS, HR, Finance and others. Scanning invoices for Finance. Inputting coded hours for payroll. Track vacation and absences for payroll & HR. Support with organizing travel for team members as required (taxis, accommodation, rental cars etc). Provide information by answering questions and requests. Support both Project and Service personnel that are working in the area and assist with time onsite tracking and logistics. Maintain stationary supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Maintain stocks in meeting room refrigerators and ensure rooms are clean and maintained with safety supplies. Carry out administrative duties such as filing, typing, copying, binding, scanning etc. Assisting in local marketing activities (photo shoots, booth material, storage of marketing collateral). Develop and maintain computer and manual filing systems. Handle sensitive information in a confidential manner. Input and manipulation of data in the ERP system, as required. Execute other tasks as assigned. Requirements High School Diploma Prior administrative experience preferred Detail oriented and ability to schedule activities and meet deadlines. Excellent communication skills (verbal and writing) with high attention to detail and ability to work with different functional departments. Able to handle sensitive information with tact and integrity – must consistently use good judgment and discretion. Strong working knowledge of Microsoft Office including Excel and Outlook. Previous experience with an ERP system desirable. Strong written and verbal communication skills with high attention to detail. Excellent organisational skills with the ability to handle multiple tasks and workload. Some travel to other ABEC sites as required.
