Description
Huawei Finland Research Center is looking for an assistant for our site manager at RnD office located at Ruoholahti office. In this role, you will be working alongside the site manager, also cooperating with HR team, operational team and other business teams. The role requires strong organization, initiative, and resourcefulness, with the ability to navigate seamlessly across teams and priorities. Key Responsibilities: Proactively manage the Site Manager's calendar, prioritizing meetings and business matters to ensure time is focused on key priorities. Serve as the primary point of contact between the Site Manager and key stakeholders, including senior leadership and external partners, to streamline communication and ensure alignment across all priorities. Handle confidential correspondence, NDAs, contracts, and other sensitive documents with tact and discretion. Support pre-review and pre-check of documents prior to signing. Support steering committee meetings as meeting secretary: send invitations, collect agenda topics, draft minutes, and track follow-up actions to closure. Prepare briefing notes, meeting minutes, and follow-up communications for high-level meetings. Lead or support ad hoc projects and initiatives on behalf of the Site Manager, some of which may involve multiple teams and tight deadlines. Coordinate the annual Research Center summit event, working closely with cross-functional teams. Assist the Site Manager with speechwriting and script preparation for public engagements, as needed. What we are looking for Education in a relevant field (HR, business management, communications) or previous experience from corresponding administrative tasks. Highly organized and resourceful, with exceptional attention to detail. Proactive and forward-thinking. Strong interpersonal and written communication skills, capable of building trust across teams and stakeholders. Discreet and professional, trusted to handle confidential information with sensitivity and sound judgment. Confident working with MS Office. Experience from working or studying in multicultural environments is considered beneficial. Also experience from or interest in Adobe tools, such as Photoshop, Croldaw, AI or other graphic design software/short video editing software are considered as beneficial. Location: Helsinki, Finland (Onsite) Contract Type: This is a full-time consultant position; the consultant shall be employed by Huawei's supplier.
