JOB DESCRIPTION

There are four key pillars of a Site Manager and we are looking for someone with commercial acumen, strong interpersonal skills and an eye for detail to fulfil the role.
1. Ownership of the site– at its core, this means ensuring that the operations and processes within your site work for both the members and the team.

What this may look like (not an extensive list):

  • You need to ensure that you regularly audit the backend system to ensure contracts, memberships and invoices are correct.
  • You need to ensure that project roll outs are actioned in a timely manner as we continue to improve our space and product.
  • Collect and report feedback from members in order to drive continuous improvement of the Colony product/offering.
  • Have expert knowledge of all Colony products, with detailed understanding of immediate and future availability within your venue.
  • Forecast revenue and expenditure accurately through collation of data from our CRM and accounts team.
  • Refine and review the use of the budget ensuring it is used optimally to better the space.
  1. Space – ensuring that the venue looks its best at all times, meeting the needs of your members.

What this may look like (not an extensive list):

  • Thorough weekly walk arounds identifying and resolving issues presented, i.e. insufficient cleaning staff, repeating IT-related failures, maintenance issues
  • Managing the Internet Connection and Telephone requirements for the space
  • Daily walk around to key high traffic areas ensuring the site meets our standards both from an aesthetic sense and operationally.
  • Know and be able to implement member safety plans, i.e. fire and emergency plans
  • Ensuring and monitoring our space to meet necessary quality standards, including the kitchen space, office and food & beverage supplies through daily walk arounds
  • Set priorities and clearly communicate adjustments to team.
  1. Community – your role is to, alongside your team create a network of people within your venue who will speak, learn and grow with each other.

What this may look like (not an extensive list):

  • Liaising with your team to create Community Events & initiatives and ensuring this has an even spread of educational, socialising & networking opportunities.
  • Support and nurture our co-working community by learning about your members, making introductions and seeking to engage in their business objectives.
  • Have regular check-ins with members to resolve issues, find out future plans, process membership terminations and other issues of complexity.
  • Solve member-related issues to ensure a cohesive community and manage member expectations.
  • Supervise move-ins and move-outs for quality experience, ensuring that company check-in procedure and accompanying administrative elements are adhered to.
  • Register new members and acclimatise them to the community ensuring they are aware of all Colony facilities, policies and technology.
  • Design and recommend rules, guidelines and best practices for the community to · Resolve member complaints regarding other members through neutral fact investigation and process termination of membership when warranted.
  1. Management – This incorporates both account management and personnel management. The key to success at your venue is around renewals and those member relations to help maintain 100% building occupancy.

What this may look like (not an extensive list):

  • Utilise our systems to ensure accurate administration of memberships, contracts and ad-hoc charges.
  • Run monthly membership billing reports to ensure incoming rental payments are scheduled on the bill run, invoices are correct and arrears are chased.
  • Manage a team within a building to reach sales goals and execute on their objectives as an individual and a team.
  • Ensure responsible procurement from third party suppliers & contractors where necessary (eg. purchases / repairs).
  • Perform weekly one-on-one meetings to track individual performance and lead their professional development.
