Description GENERAL SUMMARY OF DUTIES: Responsible for scheduling sleep study appointments, relaying sleep study preparation information, obtaining pre-authorizations and pre-certifications as required, and assisting with sleep center clerical duties. SUPERVISION RECEIVED: Reports to Office Manager/Director of Operations. SUPERVISION EXERCISED: None. ESSENTIAL FUNCTIONS: 1. Schedule sleep study procedures/tests as assigned by the referring medical offices. 2. Clerical duties to include the use of office equipment, faxes, scanning documents, prepping and retrieving charts, answering phones, editing, and keying various documents. 3. Obtain, document, and report preauthorization and precertification information for sleep studies and related services as required. 4. Assist with OSHA compliance as assigned by the office. 5. Maintains patient confidentiality and follows HIPAA requirements. Requirements EDUCATION: High school diploma. EXPERIENCE: Minimum of one year of experience in a customer service setting, preferably six months of receptionist/scheduler experience in a healthcare setting. Experience with office equipment, patient scheduling, insurance verification, and preauthorization processes preferred. KNOWLEDGE AND SKILL REQUIREMENTS: Knowledge of managed care principles, insurance verification, preauthorization/precertification processes, reception tasks, clinic policies/procedures, and required paperwork. Knowledge of how to use office equipment, including phone, computer, fax/scanner, copier, and electronic medical record or scheduling systems. Knowledge of customer service concepts and techniques. Skill in using office equipment satisfactorily and handling paperwork, chart preparation, filing, scanning, and documentation accurately. Skill in customer service principles, including professional communication with patients, families, referring offices, providers, insurance companies, and other staff. Ability to communicate clearly in person and on the phone and establish/maintain cooperative relationships with patients, families, physicians, staff, insurance representatives, and other customers. Ability to organize and prioritize tasks effectively, including scheduling, insurance authorization follow-up, patient communication, and documentation. Ability to read, understand, and follow oral and written instructions. Can file correctly by alphabetical or numeric systems. Ability to maintain accuracy and attention to detail when entering patient information, scheduling appointments, documenting authorizations, and relaying sleep study preparation instructions. ENVIRONMENTAL/WORKING CONDITIONS: The office setting is well-ventilated and well-lit. PHYSICAL/MENTAL DEMANDS: Sitting/standing for long periods of time. Requires eye-hand coordination and finger dexterity. Must be able to view computer screens for long periods—occasional stress related to workload, scheduling demands, insurance requirements, and customers with problems.
