Senior Relocation Manager - Client Site (Embedded Role) Position Overview The Senior Relocation Manager will serve as the dedicated relocation specialist embedded within the client site's operations, providing comprehensive relocation coordination and management services for personnel, offices, classrooms, laboratories, and campus facilities. This role requires expertise in end-to-end relocation processes while maintaining deep integration with client systems and stakeholders. Key Responsibilities Relocation Program Management Oversee all aspects of relocation services including personnel moves (domestic and international for new hires, transfers, visiting academics), office relocations, classroom transitions, laboratory equipment moves, and campus facility reorganizations. Develop and maintain relocation policies aligned with client requirements and budgetary parameters. Manage vendor relationships with moving companies, specialized equipment movers, temporary accommodation providers, and related service partners. Facility and Equipment Coordination Plan and execute complex moves involving sensitive laboratory equipment, IT infrastructure, classroom technology, and specialized academic resources. Coordinate with facilities management, IT services, and academic departments to ensure minimal disruption to operations. Oversee decommissioning and recommissioning of laboratory spaces, ensuring compliance with safety and regulatory requirements. Client Consultation and Support Serve as primary liaison for relocating employees and departments, providing personalized consultation on relocation options, benefits, and processes. Conduct pre-move consultations to assess individual and departmental needs, developing customized relocation plans for both personnel and physical assets. Provide ongoing support throughout relocation timelines, addressing concerns and ensuring smooth transitions. Stakeholder Coordination Collaborate closely with Project teams, Facilities Management, Finance, IT Services,and academic departments to ensure seamless integration of relocation services with client operations. . Liaise with consultants and contractors for specialized equipment vendors, and campus planning teams. Process Optimization and Compliance Continuously evaluate and improve relocation processes to enhance efficiency and cost-effectiveness for both personnel and facility moves. Ensure compliance with client policies, safety regulations, environmental requirements, and international relocation standards. Maintain detailed documentation of all relocation activities and expenditures for audit and reporting purposes. Budget Management Manage relocation budgets covering personnel moves, equipment transportation, facility modifications, and temporary arrangements. Negotiate rates with service providers and seek cost-effective solutions while maintaining service quality. Prepare regular budget reports and forecasts for client leadership. Required Qualifications Education and Experience Bachelor's degree in Business Administration, Facilities Management, Project Management, or related field. Minimum 5-7 years of experience in corporate relocation management, facilities coordination, or related field. Previous experience in higher education or complex institutional environment strongly preferred. Certification in relocation management (CRP, GMS) or project management (PMP) highly desirable. Technical Skills Proficiency in relocation management software, facilities management systems, and client information platforms. Advanced knowledge of Microsoft Office suite, particularly Excel for budget tracking and project management tools. Experience with vendor management platforms, expense tracking systems, and asset management databases. Core Competencies Strong project management abilities with capability to handle multiple concurrent relocations involving personnel, equipment, and facilities. Excellent communication and interpersonal skills for working with diverse academic and administrative communities. Technical understanding of laboratory equipment, IT infrastructure, and specialized academic facilities. Problem-solving skills with ability to handle complex logistics, safety requirements, and unexpected challenges.
