JOB SUMMARY

Supervised by the Department Chair supports the Department of Sociology in the area of administrative assistance to the 47 faculty: the Department Coordinator, and the Department Chair in the execution of duties necessary to the operation of all academic programs. Assists the Department Coordinator in a department office of approximately 22 tenured/tenure-track faculty and 25 lecturers; supports and serves as one of the resources for information regarding Department policy and practice for faculty, students, and staff.

KNOWLEDGE SKILLS AND ABILITIES

Skilled in building and maintaining positive working relationships with faculty, staff, students, and vendors. Possesses a solid understanding of office procedures in an academic setting and can perform efficiently in high-traffic, noisy environments requiring accuracy and independent judgment. Proficient in Windows, Microsoft Word, WordPress, Adobe Acrobat Pro, email, spreadsheets, databases, Ad Astra, and CMS. Strong written and verbal communication skills, with the ability to clearly convey essential information.
Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student and assist in achieving the university’s commitment to a “vision of excellence.”

EDUCATION AND EXPERIENCE

  • Equivalent to three years of administrative experience required.
  • Bachelor’s degree preferred.

PHYSICAL SUMMARY

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).
Responsibilities
  • Receives visitors, fields telephone calls and emails for the Department providing information as appropriate directs inquires.
  • Assists Department Coordinator in typing and reproducing instructional materials, correspondence, minutes, reports and forms. Tracks the dispositions of correspondence and forms for expenditures and hiring. Provides support to faculty in the Department.
  • Serve as department mail clerk and maintains office and photocopier supplies.
  • Serves as Department Technology Help Desk resource, maintains department website.
  • Arranges department events and activities.
