JOB SUMMARY: The Spa Receptionist is the first point of contact for all guests and is responsible for providing a welcoming and relaxing experience from arrival to departure. Responsible for checking guests in and out and booking appointments by phone and in person. This role includes responsibly serving alcoholic and non-alcoholic beverages to guests in accordance with all health and safety regulations. JOB QUALIFICATIONS: The Spa Receptionist must have strong computer, typing, phone and verbal skills. This person must be able to work in a team and provide quality service to guests. This person must be detailed oriented and able to manage multiple tasks. Excellent customer service skills are necessary. Must be available to work weekends, holidays, and varied hours. ESSENTIAL JOB FUNCTIONS: Schedule, confirm, and modify guest appointments using booking and scheduling software. Provide accurate, detailed information about spa services, treatments, packages, and products. Check guests in and out for their appointments and provide a brief orientation to the spa facilities. Process payments for services and retail products accurately, handling cash, credit cards, and gift certificates. Escort guests to treatment waiting areas and offer them refreshments, including any available beverage menu. Manage a multi-line phone system, answer calls promptly, and respond to emails. Perform opening and closing procedures for the front desk area according to standard operating procedures. Promote and sell spa products, packages, and gift cards, making informed recommendations to guests. Assist with regular inventory counts of retail products and report low stock levels to the manager. Maintain the cleanliness and organization of the retail display. Offer and serve complimentary or for-purchase alcoholic beverages and non-alcoholic beverages to guests. Check the identification of guests who appear under 30 to ensure they are of legal drinking age. Monitor guests for visible signs of intoxication and adhere to responsible serving practices, including refusing service when appropriate. Follow all health, safety, and sanitation protocols for the spa and beverage service. Other job related duties as assigned and instructed by management. CUSTOMER SERVICE EXPECTATIONS: Politely and professionally handle guest questions, requests, and concerns, escalating complex issues to management when necessary. Provide a warm and friendly greeting to all guest upon arrival and thank them for their visit upon departure. Contribute ideas or suggestions which will improve the operation. PHYSICAL DEMANDS: Walking; standing; bending; carrying light items such as papers, books, small parts, etc. No special physical demands are required to perform the work. WORK ENVIRONMENT: Frequent exposure to natural, organic, or chemically produced products that encompasses all supplies used and stored at any given time in the Spa or Salon for services. The work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices, meeting and training rooms, libraries, and residences or commercial vehicles, e.g., use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. The work area is adequately lit, heated, and ventilated. This is a work environment with varying shifts including weekends and holidays.
