QUALIFICATIONS:

  • Previous experience in a front desk, receptionist, or spa assistant role preferred but not required.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with attention to detail.
  • Comfortable multitasking in a fast-paced environment.
  • Friendly, approachable, and professional demeanor suitable for a luxury spa setting.
  • Basic computer skills and experience with booking software (training provided if needed).
  • Ability to work flexible hours, including some evenings and weekends.
  • Must be available to work extra hours and holidays during peak seasons.
Responsibilities

ROLE OVERVIEW:

As a Spa Receptionist / Spa Coordinator, you will be the first point of contact for our discerning clientele and play a vital role in ensuring their experience is seamless from booking to post-treatment. You will assist with client relations, manage bookings and inventory, support aestheticians, and maintain a clean and inviting spa environment befitting our high standards.

KEY RESPONSIBILITIES:

  • Greet and welcome clients warmly, providing impeccable customer service and support.
  • Manage appointment bookings, cancellations, and rescheduling efficiently using our booking system.
  • Handle phone and email inquiries professionally and promptly.
  • Support aestheticians by preparing treatment rooms, flipping beds between clients, and replenishing supplies.
  • Maintain spa cleanliness and organization, ensuring a pristine and relaxing atmosphere.
  • Manage inventory of retail products and treatment supplies, monitor stock levels, restock as needed, and assist with placing orders.
  • Prepare, package, and ship online orders accurately and timely.
  • Perform client check-ins, checkout, and process payments at POS.
  • Assist clients by retailing skincare products and confidently answering basic skincare and treatment questions.
  • Support administrative tasks including record keeping and follow-up communications.
  • Collaborate with the team to ensure daily operations run smoothly and clients receive exceptional care.
  • Adhere to all spa policies, health and safety guidelines, and confidentiality standards.
