Description The Village of Mundelein is seeking a highly organized and creative Special Events Coordinator to lead the planning, coordination, and execution of Village-wide events. This position is the primary staff member responsible for producing high-quality community events that promote engagement, support local partnerships, and strengthen the Village’s public presence. The ideal candidate is an experienced Coordinator who can manage multiple projects, work collaboratively across departments, build strong relationships with local businesses, and create effective marketing and social media content. Key Responsibilities Plan, organize, and manage major municipal events including festivals, concerts, ribbon-cuttings, parades, celebrations, ceremonies, and community programs. Develop event concepts, timelines, layouts, and all operational logistics, working closely with collaborating with Fire, Police and Public Works. Manage event budgets, track expenses, and ensure responsible use of Village funds. Coordinate event planning and communication with internal departments, Village commissions and committees, community partners, and outside organizations. Prepare and manage vendor contracts, permits, insurance documents, and compliance requirements. Lead sponsorship solicitation, build business relationships, and secure donations and in-kind support. Maintain sponsorship records and ensure proper acknowledgment and benefit fulfillment. Recruit, train, and oversee volunteers and temporary event staff. Create and schedule social media content and promotional materials in coordination with Communications staff. Capture event photos, videos, and real-time content for Village platforms. Respond to public inquiries regarding events. Conduct post-event evaluations and develop recommendations for improvements. Maintain databases for registrations, guest lists, volunteers, sponsors, and event records. Work evenings, weekends, and holidays as required for event management. Requirements Bachelor’s degree in Communications, Public Administration, Marketing, Event Management, Recreation, or a related field; or equivalent experience. 2–4 years of event planning experience, preferably in municipal or community programming. Experience managing organizational social media accounts preferred. Strong communication, project management, and relationship-building skills. Ability to work collaboratively with staff, elected officials, community organizations, and the public. Ability to work in a fast-paced environment and manage multiple deadlines. Valid driver’s license. Ability to lift/move 25–50 lbs and work outdoors in varying weather. Schedule Exempt position; Monday–Friday schedule with required evening, weekend, and holiday work to support events. Salary and Benefits The salary range for this position is $81,776- $107,683. The Village offers a generous benefits package including medical, dental, vision, and life insurance, flexible spending account, enrollment into the Illinois Municipal Retirement Fund (IMRF) pension system, vacation time, float days, holiday, and sick time.
