POSITION OVERVIEW:

The Special Events Manager is responsible for assisting the organization in reaching its fundraising goals through special events and all fundraising activities. Performs a key role with ability to lead and motivate vendors, committees, and event volunteers. The Special Events Manager is responsible for cultivating donors and maintaining donor relations before during and after events. The Special Events Manager will manage budgets and meet Development deadlines, take initiative and multi-task. The Special Events Manager is responsible for maintaining and managing database entries and reporting pertaining to all aspects of special events.

Responsibilities

OVERALL RESPONSIBILITIES:

o Plan event from start to finish according to requirements, target audience and objectives.
o Deliver events on time, within budget, that meet or exceed expectations and fundraising objectives.
o Prepares budget for event and ensures all invoices are submitted on time.
o Manage and negotiate with vendors and suppliers.
o Work with Development Team to contract event personnel (DJ, bartenders etc.)
o Manage operational and administrative functions so that events and projects are delivered efficiently with maximum results.
o Analyze the events success and concerns and prepare reports necessary.
o Work in tandem with Marketing & Communications Manager to ensure the event is completed smoothly and resolve any issue that might arise.
o Ensure brand management and consistency of online and printed materials used for event production.
o Provide leadership and direction for all team members, volunteers and event paid staff.
o Travel to on-site locations for inspection and set up guidelines for vendors, team, and volunteers.
o Approve all aspects including timeline, event progress well in advance of the event, in conjunction with Development Leadership
o Ensure the event is completed smoothly and resolve any issues that might arise.
o Assist with pre and post event activities to evaluate success and challenges.
o Provide excellent customer service to all internal and external customers.
o Complete other duties as needed and assigned by Development Leadership
o Responsible for volunteer recruitment, orientation, training, management, and stewardship for special events
o Spearhead/assist Development Team with community awareness and engagement activities such as, but not limited to, house program events and similar community-based event opportunities.

ADDITIONAL RESPONSIBILITIES: -

o Coordinate with Marketing & Communications Manager and Development Coordinator regarding necessary event data entry pre and post event
o Ensure all donor records are entered into the database in the most efficient and timely manner.
o Ensure all proper thank you correspondence is completed in a timely manner and as assigned.
o Reconcile and complete reports pertaining to each event on or before established deadline.
o Collaborate with appropriate staff members to maintain an efficient application process for volunteers for special events.
o Provide orientation and training, update materials according to trends in volunteer service for special events.
o Responsible for maintaining and growing donor and prospective donor portfolio as assigned and agreed upon by Development Team
o Achieve set fundraising goals within defined deadlines.
o Ensure all proper thank you correspondence is completed in a timely manner.
o Stewardship including donor information eblasts, honor roll of donors and possible materials for donor recognition events and potential giving societies.
Education & Experience - An equivalent combination of education, training and experience will be considered.
o Bachelor’s Degree in a related field or equivalent work experience in media, marketing, public relations or other related field
o Excellent interpersonal skills required, including patience, compassion, tactfulness, flexibility, and professionalism always.
o Problem-solving and decision-making skills
o Ability to work well with change.
o Sensitivity, nimbleness, good humor, and a true sense of calm in challenging situations
o Previous experience working effectively with volunteers and facilitating special events.
o Computer proficiency including Microsoft Office and database software.

o Excellent presentation, public speaking, and community relations skills
o Excellent organizational skills, attention to detail and strong, persuasive, and engaging verbal and written communication skills

o Proficient with computer database, word processing and publishing programs.

  • Computer skills required include MS Word, Excel, PowerPoint, Outlook, Arreva or similar CRM database, and strong overall web and social media understanding.
  • Ability to attend meetings/events outside of traditional working hours as necessary.
  • Strong problem-solving ability with the ability to analyze multiple opinions and recommend positive solutions.

Work Environment - Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.
o Must be available to work irregular hours, shifts, weekends, holidays.
o The noise level in the work environment is usually moderate.
o Must be willing and able to drive or obtain alternative transportation between RMHC programs and offices for external meetings, donor meetings, etc.
o Regular and predictable attendance is required.
