Primary Duties & Responsibilities Contacts with vendors providing services to HR such as: Security, Cleaning, Catering, Transportation, Landscaping, Accommodation services, Mailing services, Travel agencies, Visa/ work permit services, Fast Track, etc. Manages the day-to-day operations of Contractors that are providing services to the company in the scope of work of GA. Coordinates with EHS to implement any process or procedure related. Vendor performance management Make sure the GA operating tasks are compliance with law Ensure all vendors under GA management are in compliance with policies, regulations. Conduct periodically/ unusual site inspection, audits Ensure all operation under approved budget. Reporting: Operation relative reports, expense report to Line Manager Report quality high risk events to supervisors. Report unsafe behaviors to supervisors. Report to next managing levels when my supervisor does the wrong thing without the correction Manages and/or perform all administrative duties in the office and ensure that office is operating smoothly including creating PR, posting invoices Manages payment process for all kinds of services under GA management. Manages office supplies, gifts, uniform inventory, delivery and places orders as necessary while making sure the office budget is managed effectively Manages mailing delivery, being track record effectively Develops and maintains a positive and friendly company image by acting as the company first line of contact to visitors, customers, and vendors in person, online, and via telephone. Develop and administer office policies and procedures, and ensure they are implemented appropriately Assists with office layout planning and office moves, and with managing and maintaining IT infrastructure Identifies opportunities for process and office management improvements and designs and implements and management new office policies. Coordinate with relevant parties to provide VIP Guest Services regarding agenda, transportation, reservations, food and beverage, emigration/immigration of the VIP visitors. Be responsible for planning, promoting and ensuring the smooth running of a company event schedule and individual events by cross-department coordination including but not limited to Seminar, Workshop, Company Meeting, Virtual Meeting, Business Dinner, Government Meeting, Vietnam Annual Dinner, Company Outing, Company Team Building and other company-level events. Manage and optimize reception processes, continuously improve and enhance, and improve customer satisfaction Manages and organizes company activities such as company outings, quarterly & annual meetings, Year-end Party, or any events assigned by Line Manager or above level. Manages in delivering the Company gifts, vouchers, recognition items, etc. to employees. Manages and allocates resources to support company-wide HR Operations, especially for Talent Acquisition, Training Courses, Total Remuneration and Operations Performs special assignments/projects/reports assigned by HRM Education & Experience Bachelor’s degree in foreign Languages, Business, Hospitalities, Economics, Industrial Management, Law, Social Sciences and Humanities, or equivalent specialization. English: good at English communication. 3+ years of experience in office management or administrative positions such as: Senior General Affairs, Administrative Team Lead, Office Manager, Facilities Management team Lead, etc Skills Excellent at English communication and Vietnamese. Good at interpersonal communication and presentation skills and the ability to comprehend and communicate effectively at multiple levels within and outside the organization Exposure to manufacturing or corporate environments with knowledge of compliance and EHS standards is preferred. Experience in vendor management, contract negotiation, and cost optimization. Highly organized multitaskers who works well in a fast-paced environment. Ability to handle multiple priorities involving external and internal priorities Ability to excel in a cross-organizational, cross cultural, global team environment Handle special assignments promptly and professionally Working Conditions Working in the office, full-time in manufacturing company. May be required to work outside normal office hours occasionally to support company events, VIP visits, audits, or urgent business needs.
