Overview The Clinical Equipment and Supply Specialist plays a critical role in supporting the organization's clinical field operations by ensuring that all clinical teams have the equipment and supplies necessary to perform their work effectively and without interruption. This position is responsible for the full lifecycle management of clinical equipment, from intake and refurbishment through ongoing maintenance, certification, and emergency deployment, as well as the timely fulfillment and tracking of supply orders across all markets. In addition to operational duties, the Clinical Equipment and Supply Specialist maintains accurate records and participates in inventory reporting initiatives to support organizational transparency, reduce waste, and ensure compliance. Responsibilities Equipment Management • Complete and maintain Cadwell equipment certification to ensure comprehensive knowledge of each equipment component, including proper operation, troubleshooting techniques, identification of faulty or failing items requiring repair or replacement, and adherence to manufacturer-recommended preventive maintenance protocols. • Intake, catalog, and refurbish both new and used equipment in accordance with company standards, ensuring all items are accurately logged and ready for deployment. • Maintain up-to-date equipment tracking systems that provide a reliable, real-time log of all equipment availability and current utilization status across the organization. • Respond to emergent equipment needs by providing rapid local-area deployment of equipment to clinical teams in the field, minimizing disruption to patient care. Supply Management • Process supply orders in accordance with compliance lanes established by leadership, balancing efficiency with cost-effectiveness and minimizing expired or wasted inventory. • Proactively support clinical teams by anticipating supply needs and ensuring timely fulfillment to prevent shortages that could impact patient care or case outcomes. • Ensure all clinical teams have access to shipment tracking information so they can plan accordingly and manage their own supply levels. • Participate in organization-wide physical inventory initiatives to account for all disposable inventory, reduce variance, and support accurate financial reporting. Travel and Preventive Maintenance • Travel to remote markets as needed to conduct equipment checks, perform preventive maintenance, and ensure field teams have properly functioning equipment. • Document findings from all travel-based equipment checks and provide summaries to the Regional Director. • Coordinate scheduling for preventive maintenance visits to minimize disruption to clinical operations. Communication and Reporting • Conduct weekly meetings with Area Territory Managers (ATMs) and Lead Technicians from each territory to gather operational updates and identify issues requiring escalation. • Provide regular written summaries to the Regional Director covering: scheduling needs and errors, cases with changes or adverse outcomes, outstanding technician performance, surgeon needs or complaints, missed cases, and any other issues that may impact the organization's day-to-day operations. • Maintain ongoing, proactive communication with field teams to identify and resolve equipment or supply issues before they escalate. Qualifications Education / Experience · High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred. • Prior experience in clinical equipment management, medical device logistics, or a related healthcare operations role strongly preferred. • Cadwell equipment certification required (or must be obtained within a defined period of hire). Knowledge, Skills, and Abilities • Strong technical aptitude with the ability to learn, operate, troubleshoot, and maintain clinical equipment to manufacturer and company standards. • Excellent organizational skills and attention to detail, particularly in the context of inventory tracking and record keeping. • Effective verbal and written communication skills, with the ability to produce clear summaries and reports for leadership. • Ability to manage competing priorities in a fast-paced, field-based healthcare environment. • Proficiency in inventory management systems and general computer applications (e.g., Microsoft Office Suite). • Demonstrated ability to work both independently and collaboratively across cross-functional teams. Physical and Mental Demands This position will spend long hours sitting and using office equipment and computers. The position may also entail light lifting of supplies and materials occasionally, up to and including 20 pounds in addition to reaching, stooping, standing, and walking.
