Job Description The Specialist performs the following duties and responsibilities: participation in the preparation and holding of special events held by Division or other competent structural divisions of the University, as well as its subsidiaries; assistance with the Division’s budget request formation for the relevant financial year; safety of material assets entrusted to him/her in interaction with Security Service; monitoring of procurement contracts performance by suppliers; participation in drafting of information materials for the media, reporting and analytical information; collaboration with partners and participants of special activities, their accommodation and transportation organization; Division’s documents management; timely and quality execution of other tasks assigned by the Head of Division and the University management within his/her job duties and authorities. strictly observe labor and performance discipline; duly and timely execute tasks assigned by the Head and the University management; observe the laws of the Republic of Kazakhstan and internal policies and procedures of the University; comply with the generally binding internal policies and procedures of the University; in case of dismissal or transfer to another position, pass all paper and digital information to another person appointed by the Head under the Statement of Acceptance, and submit the inventory assets to the accountable officers of the University; preparing post-event evaluation reports to inform future events; sourcing off-campus event venues, suppliers and contractors, then negotiating prices and rentals; managing the events calendar to ensure effective planning and organization across the calendar. This includes regularly communicating the event calendar/relevant events to various departments; preparing departmental timesheets, ensuring data is submitted on time; ensuring protocol is maintained at ceremonial, formal and other events; monitoring global trends in events, education, technology and sustainability to adapt and incorporate them into university events. Qualifications Education: University degree preferably from universities with English language of instruction (Bachelor’s degree). Priority majors: - Event Management; - Public Relations and Advertising; - International Hospitality Business; - PR/Marketing; - Management. Work experience: - at least 1 year of professional experience in areas corresponding to the functional areas of a specific position in international organizations, national companies and / or a local company (local Kazakhstan company). Knowledge: - presentation creating and making skills; - analytical skills; - document management skills; - fluent Kazakh, Russian, English languages (knowledge of other languages is an advantage); - knowledge of MS Office, Excel, PowerPoint.
