Job Purpose Responsible for implementing and managing digital systems for reporting and task management. Ensures data integrity, process optimization, and accurate reporting to support operational efficiency and decision-making. Key Accountabilities • Digital Systems Oversight: Implement and manage task management and reporting platforms. Ensure data integrity in Oracle and other reporting systems. • Reporting & Analytics: Update, consolidate and maintain daily, weekly, monthly, quarterly, and annual reports from all teams. Prepare ad hoc reports and data analysis for management decision making. Collect reports from field teams, consolidate them, and track performance for timeliness, accuracy, and completeness. Prepare weekly and monthly consolidated reports and PowerPoint presentations for management meetings. Implement dashboards for each report and reporting KPIs. • Team Coordination & Validation: Validate all system requests (Trips, Vehicles, Rooms, Items, etc.) for completeness and compliance with guidelines. • Process Optimization: Identify opportunities to digitize workflows and improve efficiency. • Financial Controls: Act as Petty Cash Custodian (if assigned) and ensure disbursement aligns with company policies. Review petty cash invoices for compliance before submission to Finance. • Timesheet Review: Review all E&RD employee timesheets for compliance and accuracy. • Continuous Improvement: Drive process improvements for efficiency in reporting & Task Management. • Training & Support: Guide field teams in using digital tools effectively by conducting regular training sessions. • Confidentiality: Maintain confidentiality of financial and procurement data. • Other Duties: Perform any other related tasks assigned by management. Skills & Competencies • Proficiency in Microsoft Applications and digital platforms for reporting and task management. • Strong analytical and data visualization skills for dashboards and reports. • Excellent organizational skills for tracking multiple processes, tasks and deadlines. • Strong communication skills for presenting insights and coordinating with teams. • Ability to implement process improvements and digital workflow optimization. • Competence in audit readiness and maintaining accurate documentation. • Attention to detail and accuracy in data entry and reporting. • Ability to monitor KPIs. • Confidentiality and integrity in handling confidential data. • Leadership in guiding teams on compliance and digital tool usage. Minimum Qualifications & Experience • Bachelor’s degree in information systems, Business Administration, or related field. • 2-4 years of experience in digital systems management, reporting, and process optimization.
