Senior Administration & Support Coordinator Main Responsibilities As an Office & Events Manager, you will lead the end-to-end management of office operations and internal events across Silo AI locations in Europe. This role plays a key part in ensuring smooth day-to-day operations, a high-quality employee experience, and well-executed internal events. Office & Facilities Management Oversee local facilities operations across multiple offices (e.g. Helsinki, Turku, Tampere, Stockholm, Copenhagen, Netherlands) Manage vendors, purchase requests, and invoice approvals related to facilities and office operations Collaborate closely with AMD Facilities and external partners on office-related matters Day-to-Day Office Operations (Helsinki focus) Manage daily office operations to maintain an efficient, organized, and welcoming workspace Oversee office supplies, catering, snacks, and deliveries Coordinate visitor access, keys, and badge management Act as the main point of contact for local facility needs and services Employee Experience & Onboarding Support Coordinate onboarding logistics, including badges, devices, and access Manage mobile phone devices and subscriptions (procurement, lifecycle, and records) Contribute to a positive and seamless employee experience Internal Events & Culture Lead the coordination of internal events across Silo AI Act as project manager for larger events (e.g. annual company offsite) Organize local and regional events (e.g. engineering events, site lunches, after-work gatherings, weekly lunches) Support company-wide events (e.g. all-hands meetings) from a local operations perspective Help foster a welcoming and inclusive office environment Collaboration This role is part of the Chief of Staff team and reports to the Chief of Staff. You will work closely with: Site Admin and Finance Coordinator Local Office Leads across sites AMD Facilities team and external vendors Operations team for event coordination This role sits at the intersection of operations, employee experience, and culture, supporting both local teams and broader European office operations. Key Goals for the First 6 Months Ensure all Silo offices operate smoothly with clear processes for facilities, vendors, and procurement Establish a consistent and high-quality office experience across locations Take ownership of internal event coordination from planning through execution Improve onboarding experiences related to office setup, devices, and logistics Build strong collaboration with key stakeholders Successfully deliver the annual offsite event Ideal Candidate Profile Required Skills and Qualifications Experience in office management, workplace operations, and event coordination Strong organizational and project management skills Experience managing vendors, procurement processes, and operational workflows Ability to collaborate effectively across multiple stakeholders and teams Proactive, hands-on approach with a strong sense of ownership Ability to create a welcoming and inclusive office environment Experience using AI tools and interest in automating workflows Nice to Have Experience working in a tech, startup, or international environment #LI-MH3 #LI-HYBRID Benefits offered are described: AMD benefits at a glance.
