Responsibilities
  • Support the Executive department by creating reports, completing expenses, managing calendars, scheduling and organizing meetings, preparing presentations, processing invoices, coordinating travel, organizing lunches, engaging in communications to keep stakeholders updated as required, and performing other administrative duties as needed
  • Act as back up to the Receptionist, to manage incoming telephone calls, forward calls to appropriate personnel, and take/deliver messages when appropriate personnel are not available. Greet visitors and arrange for deliveries of items to various Give & Go sites.
  • Receive, sort, and route mail, pre-screening and processing all outgoing mail and deliveries to ensure accuracy
  • Assist in the preparation of documents required for shipments or courier.
  • Coordinate office supply orders as required and maintain appropriate quantities of standard office supplies
  • Review and communicate with courier services to resolve discrepancies, arrange supply orders, and special delivery requirements as necessary
  • Manage Head Office budget to ensure costs are properly accrued and in alignment with finance records for allocation and reporting
  • Liaise with Finance Team on a monthly basis to ensure costs are managed accordingly.
  • Provide support to replenish coffee supplies and other kitchen needs and ensure the cleanliness of general office areas and boardrooms.
