About the Role The Sr. Associate, Operations & Client Support is a key role responsible for supporting Sales through investment operations and fund services. This position requires a balance of strategic oversight and hands-on operational excellence, managing the full lifecycle of special purpose vehicle (SPV) & fund manufacturing, vendor relationship management, transaction closings, investor communications/reporting, continuous improvement of processes, and enhancement of client experience. The ideal candidate combines a deep understanding of investment operations with a client-first mindset, process optimization expertise, and the ability to communicate and manage effectively across teams, vendors, and regulatory partners. Key Responsibilities Manages the SPV/Fund Process and Related Relationships: Own the end-to-end SPV and fund lifecycle in partnership with Sales, Finance, Legal, and Compliance. Manage timelines, risks, issue escalation, and changes. Oversee US and Canadian fund administrators and related vendors. Manages Distributions: Lead post transaction distribution processes in collaboration with Finance. Ensure approvals, quality checks, and reconciliations are completed. Manage clear, timely investor communications for distribution events. Client & Partner Support: Serve as the primary contact for US and Canadian broker dealers, custodians, fund administrators, vendors, and internal teams. Ensure smooth closes, high service standards, and timely issue resolution. Data Integrity & Reporting: Maintain accurate investment and client data across systems and partners. Deliver reliable reporting including KPIs, offering inventory, and IGO/NIGO status. Partner with Sales to ensure real time visibility and prevent oversubscription. Salesforce: Serve as a Salesforce power user and administrator for investment operations, building and maintaining reports and dashboards, managing data quality, supporting workflow automation, and enabling clear operational and sales reporting across teams. Governance & Compliance: Ensures all transactions, controls, and reporting comply with internal policies, regulatory standards, and client agreements. Leadership: works collaboratively with a small team of 1.5 FTE investment operations associates and the broader Finance team (4) to ensure day-to-day priorities are managed, team members are cross-trained, delivery of services are effective, and all deliverables are executed. Continuous Improvement: Identifies inefficiencies in existing processes, workflows, and systems and leads redesigns to improve service, accuracy, speed, and scalability. Skills and Requirements Bachelor’s degree in Business, Finance, Accounting, or a related field. 5+ years of experience working in Wealth Management, and back-office experience. Knowledge of mutual fund/private fund/alternative products, regulations, policies and procedures. Experience with Dataphile and Salesforce. Exceptional written and verbal communication skills — able to translate complex information into clear, actionable insights. Proven prioritizing and multitasking skills to meet quick deadlines in a face-paced environment. Collaborative team player who thrives in fast-paced, cross-functional environments. Strong analytical mindset, capable of identifying risk and proposing effective mitigation strategies. Canadian Securities Course (CSC) and Conduct & Practices Handbook (CPH) an asset, securities licensed preferred. Eligibility to travel between the United States and Canada as required. Salary & Benefits Actual salaries may vary based on factors, such as skill, experience, location, and qualifications for the role. 2025 range is $90,000 - $110,000 CAD plus incentive plan and equity.
