SR. COORDINATOR OF NON-TRAVEL INCENTIVE PROGRAMS & STRATEGIC PARTNERSHIPS GENERAL SUMMARY Etherio is seeking a detail-oriented and proactive Senior Coordinator to support the operational execution of our non-travel incentive and rewards programs while assisting with the management of our Strategic Alliance Partner ecosystem. This is a hands-on, task-focused role that requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. You'll serve as an essential operational link between our clients, program participants, technology partners, and internal teams - ensuring accurate program administration, timely invoicing, effective partner coordination, and seamless day-to-day execution that supports client success. This role requires someone who excels at process management, thrives on getting things done right, and takes pride in operational excellence. You'll work closely with account managers, finance, and technology partners to keep programs running smoothly while supporting the growth of our partner ecosystem. ESSENTIAL FUNCTIONS Client Support & Program Coordination * Serve as a key support contact for assigned clients utilizing web-based incentive and rewards programs * Assist with day-to-day client communications, program updates, and administrative requests * Respond promptly and professionally to client inquiries related to program operations, invoicing, and platform functionality * Support the development of strong client relationships through reliable service, responsiveness, and attention to detail * Help identify opportunities to improve program operations and enhance the client experience Non-Travel Program Administration & Execution * Coordinate the implementation and ongoing administration of non-travel incentive and reward programs * Manage program timelines, deliverables, and operational checklists to ensure all tasks are completed accurately and on schedule * Process program-related invoicing for non-travel incentive programs, ensuring accuracy and timely submission to clients/vendors * Track program budgets, reconcile expenses, and maintain detailed records of program costs and vendor charges * Monitor program data for accuracy and flag discrepancies or issues for resolution * Assist with the preparation of program reports, performance summaries, and client-facing documentation * Support the implementation of process improvements and best practices to enhance program efficiency and participant engagement Invoicing & Financial Administration * Prepare and process invoices for non-travel incentive program services, rewards fulfillment, and platform fees * Manage commission invoicing for Strategic Alliance Partners, ensuring accurate calculation and timely payment processing * Coordinate with finance and accounting teams to reconcile invoices, track payments, and resolve billing discrepancies * Maintain organized records of all invoicing activity, payment status, and financial documentation * Support month-end and quarter-end financial reporting related to incentive programs and partner commissions Technology Platform Support & Coordination * Serve as a resource for internal team members with questions about Reposite and other incentive technology platforms * Assist with Reposite training for new team members and provide ongoing support for platform navigation and functionality * Coordinate with technology platform providers to document and track platform issues, feature requests, and system updates * Support user acceptance testing for new platform features, upgrades, or integrations * Maintain platform documentation, user guides, and training materials to support internal teams and clients * Help troubleshoot basic platform issues and escalate technical problems to IT or vendor support as needed Participant Experience & Issue Resolution * Assist with resolving participant issues and inquiries escalated by Customer Service teams or clients * Ensure participant questions are addressed promptly, professionally, and in alignment with program guidelines * Track and document participant issues to identify patterns or recurring problems * Work with account managers, customer service, and technology partners to implement solutions that improve the participant experience * Support Etherio's commitment to service excellence and "Unreasonable Hospitality" in all participant interactions Strategic Alliance Partner Program Support * Assist with the coordination and administration of Etherio's Strategic Alliance Partner program * Support the vetting process for prospective partners, including gathering information, conducting research, and scheduling meetings * Help maintain strong working relationships with existing partners such as Reposite and other technology or incentive platform providers * Coordinate partner communications, meeting schedules, and follow-up on action items * Maintain organized records of partner agreements, contact information, commission structures, and performance metrics * Assist with partner onboarding activities, including documentation, system access, and training coordination * Support the evaluation of new tools, platforms, or technologies that may enhance Etherio's incentive program offerings * Track partner performance and provide administrative support for partner reviews and relationship management Operational Support & Process Management * Maintain accurate and organized program documentation, including timelines, checklists, and process workflows * Ensure data integrity across platforms by regularly reviewing and validating program information * Support the development and maintenance of standard operating procedures (SOPs) for program administration and partner management * Contribute insights and recommendations that support ongoing operational improvements and efficiency gains * Assist with special projects, new initiatives, or additional client programs as business needs evolve * Remain flexible and adaptable in a dynamic environment where priorities may shift MINIMUM AND PREFERRED QUALIFICATIONS * Bachelor’s degree in business, Marketing, Hospitality, Technology, or related field or equivalent professional experience * 3–5+ years of experience in program coordination, account support, project coordination, operations, or client services * Experience with invoicing, billing, or financial administration is highly preferred * Proven ability to manage multiple tasks and priorities with strong attention to detail * Proficiency in Microsoft Office Suite, particularly Excel for data management and financial tracking * Comfort working with web-based platforms, CRM systems, and technology tools * Experience with invoicing software or financial systems is a plus * Familiarity with HTML, web development, or incentive platform technologies is a plus * Strong analytical skills with the ability to review data for accuracy and identify discrepancies * Ability to learn new systems quickly and provide training support to others * Detail-oriented and highly organized with a process-driven approach  * Service-focused problem-solver with excellent communication skills  * We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.  TRAVEL REQUIREMENTS Ability to travel at least 5-10%.  SCHEDULING REQUIREMENTS Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.
