Job Details Job Location: 2765 Bethany Bend - Alpharetta, GA 30004 Position Type: Full Time Education Level: None Summary The Sr. Executive Assistant to the Head of School serves as a trusted partner, organizational anchor, and ambassador for the mission of King’s Ridge Christian School. This role provides high-level administrative, logistical, and relational support to the Head of School while ensuring smooth communication and coordination across the executive leadership team, faculty and staff, board of trustees, parents, and external constituents. The ideal candidate is a proactive problem solver with superb communication skills, impeccable discretion, and a deep commitment to Christian education. Essential Functions The tasks, duties, and responsibilities of this job include, but are not limited to: Communication · Verbal o Screens, takes messages, and makes all phone calls for the Head of School. This includes updates on the status of important calls and initiating the appropriate follow-up in a timely manner. o Greets all visitors and makes them feel welcome to the Head of School’s office. Communicates with a positive, professional and upbeat attitude in all interactions. o Serves as backup support for the front desk/community host responsibilities such as answering phones, issuing visitor badges and monitoring security cameras as needed. · Written o Demonstrates mastery of Microsoft Office, Google Workspace, project management tools, and communication platforms. o Strong writing, editing, and communication skills. o Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment. Calendar · Manage the Head of School’s complex calendar, schedule, and travel arrangements, ensuring strategic prioritization of time. · Collect and produce itinerary, reserve facilities and conference rooms, coordinate catering, confirm schedules, review all activities on a weekly basis and prioritize and resolve any conflicts. Work in conjunction with all other administrators to coordinate schedules. · Maintains and communicates to Head of School all current and upcoming events at KRCS. · Tracks progress on executive team priorities, ensuring deadlines are met and communication is clear. · Provide administrative support to the Leadership Team as needed. · Support major institutional projects including strategic planning, accreditation cycles, fundraising initiatives, and schoolwide events. Board of Trustees Work · Interfaces with and provides support for the Board of Trustees, especially the Chairman of the Board. · Sends out Board meeting reminders, agendas, minutes, special mailings and other necessary Board documents. · Maintains address/contact information for all Board members and Board Committee members. · Prepares Board Orientation binders and coordinates orientation schedule. · Coordinate all logistics for board meetings, retreats, and committee meetings (scheduling, agendas, minutes, packets, follow-up). · Maintain and update all board documents, policies, and archives. · Ensure the Head of School is prepared for board interactions with timely materials and strategic support. General · Process the SAGE catering requests and reconcile the monthly SAGE statement. · Reconcile the monthly credit card statement. · Prepare membership updates (GISA, NAIS, AAAIS, SAIS and SACS); provide annual state required data on student enrollment. · Submit facilities and service requests electronically and publish on calendar. · Make memorial contributions, order flowers, send sympathy cards and purchase gifts for various occasions as needed or requested. · Inventory and secure all Head of School letterhead, office and miscellaneous supplies. · Monitor Head of School’s office equipment. Have an understanding of the operation and functionality of the A/V equipment installed in the Marshall Conference Room. · Maintain the school-wide Policies and Procedure binder, organizational charts, floor plans, etc. · Attend faculty and staff meetings, various committee meetings, school functions, and other events as deemed important by the Head of School. · Other duties as assigned. Qualifications Education College degree preferred, but not required. Experience 3-5 years of previous office experience; experience in an Independent School setting is preferred. Skills and Knowledge · Ability to multi-task, organize and prioritize work. · Must possess excellent oral and written communication skills. · Works independently with minimum supervision. · Strong organizational and interpersonal skills. · Proficiency with MS Office (Word, Excel, Power Point, Outlook). Experience with SharePoint, Blackbaud and ADP software a plus. · Experienced in report writing and business correspondence. · Effectively present information and respond to questions from various groups including Trustees, parents, faculty/staff and the general public. · Competence in developing long-term plans and programs and evaluating their success. · Skilled in conducting and collecting confidential research, analyzing the data, reaching valid conclusions, and making recommendations and proposing plans of action.
