Job Summary Under general supervision of the Vice President of Maintenance and Construction the Maintenance Administration Manager leads the centralized construction, maintenance, repair, and turnover coordination function and is responsible for supervising a team of overseas Maintenance Coordinators. This role oversees the effective scheduling of in-house maintenance work, coordination of third-party vendor services, and accurate billing of in-house invoices and data management across the maintenance department. The ideal candidate is self-motivated, highly skilled, customer-focused, and adept at using technology to streamline workflows. They bring a combination of operational leadership, process optimization, and strong administrative oversight. Position Details: Full-Time Position Compensation: $65,000 salary Benefits Package: Medical, Vision, and Dental Coverage 401(k) Plan Paid Time Off (PTO) Requirements Key Responsibilities Centralized Coordination and Billing Provide day-to-day supervision, coaching, and performance oversight for a team of overseas Maintenance Coordinators. Oversee all inbound maintenance requests to ensure accurate dispatching, prioritization, and timely follow-up. Ensure in-house maintenance teams and third-party vendors are scheduled effectively across multiple properties. Ensure consistent application of procedures for determining required repairs and dispatch routing. Lead the onboarding and training of new coordinators. Act as the escalation point for complex or delayed maintenance coordination or in-house billing issues. Collaborate with Property Management, Maintenance Leadership, and Construction teams to ensure seamless operations. Track key performance indicators (KPIs) for work order resolution time, service quality, and coordinator performance. Uphold compliance with all applicable codes, safety protocols, and internal operating standards. Qualifications 3+ years of experience managing remote or distributed administrative teams, preferably in maintenance, facilities, or property management. 5+ years of experience in a high-volume customer service or operations role. Strong background in property maintenance coordination, dispatching, or facilities administration. Excellent communication skills with the ability to lead a remote team and interact professionally with technicians, vendors, and residents. High level of proficiency with cloud-based systems and work order management tools. Demonstrated ability to manage multiple priorities, workstreams, and deadlines with precision. Proficiency in Microsoft Office 365 and familiarity with property management software. Highly organized, trustworthy, and process driven.
