Order Management Specialist III
About the Role
We’re a close-knit Order & Distribution team at Thermo Fisher Scientific, and we’re looking for an upbeat Order Management Specialist to be the friendly face for our customers’ orders. You’ll make sure each order moves smoothly from quote to delivery, keeping customers happy and our internal teams aligned.
What You’ll Do
- Assist customers by responding to their emails and calls, helping them with order-related tasks such as entering, updating, canceling, or speeding up orders and returns through different systems like SAP/Oracle, Salesforce, and EDI portals.
- Help track and resolve customer questions about pricing, availability, delivery status, invoices, credits, and deductions, aiming to resolve issues during the first contact.
- Support in identifying and fixing EDI “kick-out” errors, helping keep the order process smooth and ensuring accurate data.
- Follow guidelines and standards to ensure that tasks are completed on time and accurately.
- Work closely with different teams, like Supply Chain, Logistics, Finance, and Commercial, to solve problems and help remove any obstacles for customers.
- Keep an eye on order progress, identify potential delays, and offer suggestions for improving workflow.
- May perform other duties assigned by management.
What We’re Looking For
- High school diploma or equivalent (associate degree preferred)
- 2–3 years of customer-service, order entry, or call-center experience
- Comfortable using Microsoft 365. Experience using ERP/CRM systems (SAP, Oracle, Salesforce) a plus
- Friendly, solution-focused attitude with strong written and verbal English skills
- Keen attention to detail, solid time-management skills, and the ability to thrive in a fast-paced, team-oriented environment
- Basic troubleshooting and problem-solving skills to recognize issues and ask for help when needed
Physical Requirements / Work Environment & Safety
- May work fully remote or be permanently stationed at a customer site, depending on the account
- May work in areas with chemical-based allergens (e.g., penicillin, tetracycline)
- Required use of PPE where applicable: lab coats, coveralls, facemasks, hairnets, gloves, bump hats, safety glasses, and steel-toe shoes (mandatory for all colleagues)
- Routinely lift or move packages up to 40 lbs; occasionally up to 50 lbs using proper techniques Can be removed for a fully remote role
- Use material handling equipment such as pushcarts, pallet jacks, mobile cylinders, and forklifts (push/pull up to 100 lbs) Can be removed for a fully remote role
- Frequently stand, walk, bend, climb steps, and assist with staging or checking order accuracy
- Comfortable working in environments with varying temperatures (e.g., cold rooms, outdoor areas)
- Keep both desk and staging areas clean and organized
- Willingness to work occasional overtime, holidays, or weekend shifts as needed
