The main purpose of this position is to schedule and coordinate tutoring sessions for students with the Student Success Centre team. The incumbent will be responsible for devising and implementing administrative systems and procedures that enhance the team’s support services, thereby promoting effectiveness and efficiency.

EDUCATION AND EXPERIENCE

  • A Diploma or Certificate in Office Administration from a recognized institution
  • Completion of the ACMT program with Makami College is considered an asset
  • Minimum two years experience in an administrative role
  • High proficiency in the Microsoft Office Suite of products (Excel, Word, PowerPoint)
  • Fluency in an additional language is an asset
  • Previous experience using CalenderSpots or a similar booking system is an asset.

Responsibilities
  • Managing scheduling requests from students, arranging appointments with available Learning Assistants and other team members as required through CalendarSpots
  • Ensuring that tutoring sessions take place at the designated times and locations
  • Keeping records of tutoring sessions, monitoring student progress, and communicating with relevant parties regarding scheduling changes or updates
  • Writing letters and emails on behalf of other team members as requested
  • Carrying out administrative duties such as filing, typing, copying, faxing, scanning, etc.
  • Maintaining computer and manual filling systems
  • Assisting with the compilation of reports and students records
  • Monitoring office stationary levels and office supplies for the SSC team and ordering as required
  • Providing information to colleagues and students
  • Handling sensitive information in a confidential manner
  • Taking accurate minutes of meetings
  • Replying to emails, telephone messages and inquiries promptly
  • Developing and updating administrative systems to make them more efficient
  • Resolving administrative issues
  • Working collaboratively with members of the Strategic Academic Learning Team (SALT), Student Advisory Services (SAS) team and faculty to ensure that students are provided with the best possible service
  • Other duties as assigned which are deemed necessary to support colleagues in their roles or support the College in achieving its goals and objectives
