Description Position Summary: Perform administrative tasks that include team administrative activities, secretarial work, and clerical work. Note: This position is in person, full-time, onsite at our Midtown Office. Principal Duties and Responsibilities: • Perform secretarial work, such as making copies, preparing letters, forms, documents, and other such tasks. • Assist in the preparation of materials for, and make arrangements for, meetings, seminars and training events as required. • Assist with outgoing mail. • Distribute incoming mail. Scan mail electronically for staff. • Maintain needed templates and forms. • Assist advocates and attorneys with creating client file folders and with filing. • Update printed handbooks and manuals with supplements as received. • Data entry. • Contact clients, organizations, and others to obtain specified information, under the supervision and direct request of their manager. • Request client medical records for SSI/SSDI applications. • Follow-up with medical providers by phone, facsimile, and email to ensure LASSD’s receipt of requested medical records. • Process incoming referrals from all sources. Create and assign intakes to staff members. • Assist with requisition of supplies. • Compliance with all program and grant requirements. • Other tasks as assigned. Requirements Qualifications: • High School Diploma or GED. • Must have secretarial skills sufficient to provide clerical assistance to the team. • Must have writing skills sufficient to compose correspondence, reports, announcements, and public information materials. • Must have knowledge of Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint) and have the ability to learn firm-specific software/databases. • Ability to work independently as well as support team efforts. • Must have reliable transportation. • Strong oral and written communication skills. • Strong organizational skills. Desired Knowledge, Skills, and Abilities: • Fluency in written and spoken Spanish preferred. • Demonstrated commitment to serving low-income people. • Ability to work successfully with people from diverse backgrounds. • At least one (1) years’ experience working in an office setting. Pay and Benefits: The Administrative Assistant is an hourly position with a pay range of $23.08 - $31.87. The starting hourly pay is $27.48. In addition, there is a bilingual pay increase of 2% for passing an oral test and 2% for passing a written test for threshold languages other than English. LASSD offers a generous benefits package, a 35-hour workweek, paid vacation leave and sick leave and 100% employer-paid medical premium, 50% employer-paid premium for dependents under LASSD health plan, as well as dental, vision, and life benefits. Staff also have the option to participate in a 403(b)-retirement plan and dependent and health flex savings accounts (FSA).
