Role Summary The Staff Accountant supports core financial operations, including accounts receivable, journal entries, and month-end close. This role ensures accurate financial records, manages collections and fixed assets, and provides insight into financial performance. The position also supports internal controls, process improvements, and cross-functional collaboration. Responsibilities Accounts Receivable · Process and post payments, including credit cards, discounts, and adjustments · Perform collections activities, including customer outreach and payment plan coordination · Monitor accounts for prepayment requirements and service holds due to non-payment · Support monthly AR aging review with Manager of Finance & Accounting · Prepare recommendations for write-offs · Coordinate with third-party collection agencies as needed Journal Entries · Prepare and post journal entries for various transactions, ensuring accuracy and completeness. · Reconcile general ledger accounts and investigate variances · Support month-end close to ensure accurate and timely financial reporting Capital Expenditures · Maintain fixed asset register and depreciation schedules · Track capital expenditures, ensuring proper classification (CIP, accruals, etc.) · Prepare and record monthly depreciation and related journal entries Data & Metrics · Develop commentary on monthly metrics by providing clear, concise explanations for variances, detailing underlying causes and potential business impacts to inform management decisions. · Collaborate cross functionally by engaging with departments like operations, sales, and HR to gather context and ensure accurate interpretation of financial variances. Internal Controls & Efficiencies · Ensure all processes are documented with an SOP · Streamline financial processes by leveraging technology and automation tools to enhance efficiency and accuracy in financial operations · Develop and maintain a robust internal control framework to safeguard company assets, ensure accurate financial reporting, and comply with regulatory requirements · Foster a culture of continuous improvement by regularly evaluating financial processes and controls, seeking feedback, and implementing enhancements to drive operational excellence. Additional Responsibilities Support new account setup, including coordination with Sales and Operations Administer rebate, voucher, and redemption programs Perform audits and reconciliations related to insurance payments All other tasks and projects assigned by Manager of Finance & Accounting Requirements Bachelor’s degree in accounting, Finance, or a related field required 2–5 years of relevant accounting experience (AR, GL, or close experience preferred) Experience with ERP systems (e.g., Intacct) and strong Excel skills Understanding of general accounting principles and month-end close processes Experience with AR processes, collections, and reconciliations preferred Strong attention to detail and ability to manage multiple priorities Effective communication skills and ability to work cross-functionally Experience in healthcare, laboratory, or regulated environments is a plus Ability to interpret variances, create monthly commentary, and provide insights for cross-functional teams Demonstrated ability to design, document, and enforce SOPs and internal controls to ensure accuracy and compliance Evidence of leading process improvement initiatives, leveraging automation or system enhancements Excellent communication and interpersonal skills, with ability to collaborate across departments (Operations, Sales, HR) Strong analytical mindset, attention to detail, and ability to meet tight deadlines Working Environment · Work is performed primarily in an optical laboratory setting. · Ability to work in a fast-paced and dynamic production environment. · Highly collaborative working environment.
