Description:

Overview:
The successful candidate will perform administrative assistant duties and work with students, faculty, and staff pertaining to scholarships and stewardship programming in the College of Science Dean’s Office on the Logan Campus. This position performs a variety of routine and specialized clerical work requiring skills in verbal and written communication, public relations, and organization. The position requires being a part of an office team under the supervision of the Dean’s Administrative Assistant. This position will be contingent upon funding. The successful applicant has the option of ¾ summer hours if desired.

Responsibilities:

  • Work with the scholarship team to achieve the dean’s office objectives and efficiency.
  • Database management in Banner, Excel, and other software programs as required.
  • Assist with stewardship programs with alumni and donors.
  • Provide support to the Dean’s Administrative Assistant with college events and projects as determined.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, scheduling, and other general duties as assigned. Most of this work will be during business hours, however, some evenings and weekend work may be required for occasional college events.
  • Greets visitors, handles their inquiries, and directs them to the appropriate persons according to their needs.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Composes and word-processes various standard documents, correspondence, and reports as well as taking minutes at meetings as requested.
  • Uses software programs such as word processing and spreadsheet software, Publisher or PowerPoint software to create fliers, maintains the office filing systems; enters and retrieves data relating to mailing lists, labels, and reporting data; maintains records, files, databases, etc.
  • Performs miscellaneous job-related duties as assigned.

Qualifications:

MINIMUM QUALIFICATIONS:

  • Some knowledge of the mission and purpose of the College of Science.
  • Two years of increasingly responsible experience in clerical work or an associate degree/post-secondary training or related certificate; work experience must be appropriate to the position to be filled. An equivalent combination of education and experience may be considered.
  • Job offer is contingent upon the successful completion of a background checK.

PREFERRED QUALIFICATIONS:

  • Prior experience with the College of Science.
