Description DUTIES, RESPONSIBILITIES AND ESSENTIAL JOB FUNCTIONS: · Maintain staffing plans for individuals supported by the agency, assuring that they are in compliance with the requirements of the ISP and cost plan; adjusting staffing schedules in accordance with changes in cost plan(s), individual needs, activities, precautions, appointments and employee unscheduled absences on a daily basis. · Ensure that all Direct Support Staff shifts are appropriately filled with trained staff and in compliance with approved staffing plans. · Schedule the work of staff on the team, including reviewing and approving/ disapproving leave time, accepting call-in information from employees, making necessary staffing adjustments, and maintaining an accurate record of all unscheduled absences and tardiness. · Maintain an accurate data base of all full, part time and PRN personnel including phone numbers, work availability schedules, and training competencies, which is updated as necessary. · Coordinate staffing process in a manner that complies with agency policy and minimizes overtime. · Determine open positions and provide a list for the HR Coordinator weekly. · Assure that staff are appropriately trained for the specific job by maintaining information on the individual staff training records, scheduling refresher training for staff, and coordinating the transition of new hire placements into assigned positions. · Manage the scheduling function in Paylocity and maintain all schedules in a master scheduling binder as well. · Maximize the effectiveness of Paylocity including use of restrictions, training, and other functions of the system. · Establish and implement procedures to ensure an effective flow of communication, including holding regular meetings with team administrators on manpower and staffing issues, responding to telephone calls in a timely fashion, and maintaining effective communication, coordination, and cooperation with other agency management staff. · Assure confidentiality of all privileged information and records concerning persons supported, their families, team members, or other agency staff, as well as any additional information concerning the agency, its staff, clientele, or operations which may be considered to be of a confidential nature. · Assure that all records, reports, and other documentation relating to staff or otherwise relevant to agency activities are maintained in an orderly, current, and secure fashion. · Contributes to the agency effort by accomplishing related results as needed. The normal work environment will be an office setting. Primarily weekdays, however schedule may vary to include occasional nights, weekends, and on-call rotation. Position is non-exempt under FLSA guidelines. Requirements The individual should be familiar with the fields of personnel management, employment law, and public relations; have the ability to establish and maintain effective working relations with others; be able to communicate clearly and concisely with all levels of staff; display excellent mathematical and computer skills; use good judgment; and have the ability to work effectively in a fast-paced, multiple priority environment.
