To learn more, feel free to visit us at www.stan(.)ai 🤖 Tasks Facility Management: Oversee the daily operations of the physical office, including layout optimization, supplies procurement, and acting as the primary point of contact for the landlord. Vendor Relations: Source and manage relationships with external partners (catering, cleaning, IT support, and maintenance) to ensure high service standards and cost-efficiency. Onboarding & Culture: Partner with leadership to coordinate new hire setups (tech, desks, swag) and lead the planning of team events, holiday parties, and offsites. Internal Logistics: Manage incoming/outgoing mail, executive travel booking, and expense reporting for the leadership team. Process Improvement: Identify bottlenecks in office workflows—from how we book meeting rooms to how we manage kitchen inventory—and implement scalable solutions. Health & Safety: Ensure the workplace remains compliant with local regulations and maintain a safe, inclusive environment for all employees. Requirements The "Startup Mindset": 2+ years of experience in office management or operations, preferably in a fast-paced startup or agency environment. Impeccable Organization: You are the person who has a spreadsheet for everything and never lets a task fall through the cracks. Hospitality Instincts: A genuine "service-first" attitude with the ability to make guests and employees feel supported and valued. Tech Savvy: Proficiency with modern workplace tools (Slack, Google Workspace, Notion, and basic Zoom/AV troubleshooting). Autonomy: The ability to work with minimal supervision and make executive decisions on behalf of the office budget and environment. Communication: Excellent verbal and written skills; you can navigate a tough conversation with a vendor just as easily as writing a fun company-wide announcement.
