POSITION SPECIFICS

Penn State is currently seeking an a Stewardship Administrative Assistant in supporting the Eberly College of Science home of the basic biological, physical, and mathematical sciences. As a member of the Division of Development and Alumni Relations, you can play an integral role in Penn State’s future and contribute to one of the most successful fundraising and alumni relations operations in the country.

Reporting to the Director of Stewardship and working closely with the associate director of stewardship and the development and alumni relations team in the college, as well as other partners, this administrative position will:

  • Assist the stewardship director and associate director with managing the gift acknowledgement process with the Dean’s office, recording of gifts, management of the student scholarship process to inform benefactors, assist with report preparation for the traveling team members and department heads.
  • Articulate Penn State needs, ambitions, and values through excellent information and formal communications.
  • Manage calendars, schedule meetings, prepare agendas, provide support to the rest of the development and alumni relations team as needed.
  • Support event logistics (venue contracts, catering, etc.), payment processing, and tracking of event invitation and registration process.

The successful candidate will have:

  • Strong computer skills, specifically Excel, Microsoft 365, Teams, Zoom, and willingness to learn Penn State specific systems CRM (AWA) and endowment management systems (eSteward), finance (SIMBA) SAP Concur
  • Exemplary interpersonal, written, and communication skills
  • The ability to create and maintain an inclusive and respectful environment for all students and colleagues
  • Attention to detail along with the ability to multi-task several priorities for several people.
  • Commitment to delivering excellent service to internal and external stakeholders along with a high level of professionalism, to include maintaining confidentiality.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None
