As we continue to grow, we are seeking a highly skilled and detail-oriented Office Manager / Accounting Supervisor to oversee daily operations and financial management at one of our local dealerships. This role is perfect for someone who thrives in a dynamic environment, enjoys wearing multiple hats, and plays a crucial part in the dealership’s financial and operational success.

QUALIFICATIONS & SKILLS

We are looking for an organized and proactive professional with a strong background in accounting and office management. The ideal candidate should have:

  • 5+ years of experience in accounting, bookkeeping, or office management (preferably in the heavy equipment, construction, or automotive industry).
  • Bilingual – English & Chinese
  • Business, accounting, finance or management degree preferred
  • Proficiency in accounts payable, accounts receivable, and bank reconciliations.
  • Experience with month-end closing and financial statement preparation.
  • Strong intermediate Excel skills (e.g., formulas, pivot tables, data analysis).
  • Experience with accounting software (QuickBooks, SAP, or similar ERP systems).
  • Excellent customer service skills, with the ability to interact professionally with clients.
  • Strong written and verbal communication skills.
  • Ability to multi-task effectively and work independently in a fast-paced environment.
  • Familiarity with inventory management, purchase orders, and vendor/customer setup is a plus.

KEY RESPONSIBILITIES

In this role, you will be responsible for ensuring smooth system and financial transactions that support daily operations at the dealership while managing essential accounting and administrative functions. You will serve as a trusted system administrator and financial adviser to the General Manager, ensuring accuracy in bookkeeping and compliance with company policies. Your duties will include:

OFFICE & ADMINISTRATIVE DUTIES:

  • Create and manage purchase orders for equipment, parts, and services.
  • Maintain and update vendor and customer records in the system.
  • Assist in setting up new part numbers for inventory and sales.
  • Oversee dealership system maintenance, ensuring data integrity.
  • Support general office management tasks such as ordering supplies and coordinating administrative processes.
