Strategic Partner Management Administrative Assistant At Safeware Inc., we are proud to be a trusted leader in the public safety distribution industry. The Strategic Partner Management Administrative Assistant plays a key role in supporting the day-to-day operations of the Strategic Partner Management (SPM) Team by ensuring accurate documentation, reliable reporting, and effective coordination across partners and internal departments. This position works closely with Category Managers, Sales Operations, Customer Success, Purchasing, Pricing, and Marketing to support supplier integrity, partner performance tracking, and operational execution. This position is located at a Safeware office or may be remote for the right candidate. Tasks and Responsibilities Partner & Contract Administration · Manage and track partner onboarding documentation, including agreements and NDAs. · Ensure required signatures are completed and documents are properly filed in designated systems and folders. · Coordinate with Purchasing on onboarding checklists and partner setup processes. · Support management of A/D vendor numbers and vendor conversions. · Maintain accurate partner records and documentation to support compliance and reporting needs. Reporting & Performance Tracking · Run and distribute partner performance reports, including year-over-year performance, open quotes, and open orders. · Generate CRM and Pipedrive reports to support category reviews and partner discussions. · Maintain departmental KPI tracking and updates in Rhythm. · Support Quarterly Business Reviews (QBRs) by preparing data, reports, and supporting materials. Systems & Data Management · Maintain strategic partner contact records in CRM and P21. · Maintain notes, updates, and partner-related information within P21. · Update vendor contact lists and internal reference materials as needed. · Assist with maintaining data accuracy across systems. Training & Communication Support · Schedule and track partner training sessions. · Maintain records of completed trainings, including document storage in SharePoint. · Send follow-up communications such as thank-you notes to partners after training sessions. · Manage the Strategic Partner Management shared email inbox. · Assist with internal newsletters or announcements related to partner updates and team communications (as defined by management). Administrative & Team Support · Track follow-up actions and commitments for Category Managers using Planner or similar tools. · Assist with updating internal and external content, including website updates, as requested. · Provide administrative support for strategic sourcing projects and partner initiatives. · Support Marketing, Pricing, Purchasing, and Customer Success teams as needed. · Complete additional tasks and special projects as assigned by management. Required Skills and Knowledge · High School diploma or GED required; college degree preferred. · Strong proficiency with Microsoft 365 and Excel. · Experience or familiarity with P21, CRM systems, Pipedrive, SharePoint, and Planner preferred. · Strong organizational skills with excellent attention to detail. · Clear and professional written and verbal communication skills. · Ability to manage multiple tasks, meet deadlines, and adapt to changing priorities. · Ability to work independently while supporting multiple team members. · Comfortable working across departments and supporting cross-functional processes. · Ability to support flexible schedules and work with multiple time zones when needed.
