  • Excellent IT Skills and knowledge of Microsoft Office 365
  • Experience of using Microsoft Teams, Online Survey software
  • PA/Reception experience (Desirable)
  • Worked in a further or higher education institution (Desirable)
  • Knowledge of University Systems – Blackboard Collaborate (Desirable)
  • Experience of working with international students/non-English (Desirable)
  • Experience of spreadsheets (Desirable)

Responsibilities

JOB PURPOSE

The Student Administration Officer reports to the College Manager. The Student Administration Officer will be expected to handle a wide range of administrative tasks and provide the highest level of student support services.
This role is maternity cover until the end of August 2026, and we’re looking for someone who can bring their skills and enthusiasm to a busy, fast-paced work environment.

GENERAL DUTIES

  • Carrying out a range of administrative tasks.
  • Adhere to all OIEG and University policies.
  • Maintain the appropriate level of confidentiality.
  • Work as required with IT Systems and Management Information Systems of both OIEG and Bangor University.
  • Communicate effectively and in a timely manner with all stakeholders (students, academic staff and external stakeholders).
  • Carry out any other reasonable duties, as directed by your Line Manager or another member of the College Management Team.

SPECIFIC DUTIES

  • Contribute to the creation in the College of a friendly and supportive atmosphere for students and staff.
  • Support on front desk with face-to-face enquiries as required.
  • Support pre-arrival and post-arrival processes.
  • Support student with all aspects of registration both BUIC and BU (Bangor University) ID check, eVisa and confirmation of registration letter.
  • Enrol students onto modules.
  • Allocate Personal Tutors.
  • Ensure students are informed and have access to the specialised student services provided by the University of Bangor.
  • Record, action and report student attendance in line with UKVI requirements.
  • Participate in any relevant college audits or reviews as required.
  • Ensure there is financial system in place for receiving and paying invoices, monitoring Concur and petty cash.
  • Support College Manager with all aspects of debt management.
  • Monitor and update modules and pages on the Virtual Learning Environment.
  • Support all aspects of assessment processes.
  • Adhere to the College retention policy.
  • Organise events for college visits, students and staff and share success stories on social media and with Marketing.
  • Deal with all student evaluation surveys.
  • Order college supplies as necessary.
  • Attend meetings as required.
  • Take the secretarial role and produce minutes of meetings.
  • Cover for the other Student Administration Officer as needed and deputise for the College Manager in her absence.
  • Complete all compulsory training and take a proactive approach to seeking out additional training opportunities.
