This position provides comprehensive academic and administrative assistance to ensure smooth delivery of classes and learning activities. Core responsibilities include coordinating class-related processes such as student records management, preparation of teaching materials, and support for teachers during lessons and assessments. The role also oversees the Independent Learning Centre, facilitates library services, and ensures timely resolution of academic-related queries from students and parents. Additionally, the position collaborates closely with teaching staff and the Centre Manager to implement student engagement initiatives, uphold rigorous standards for learning resources, monitor student progress, and support activities that enhance the overall educational experience. Reports to: Centre Manager Key Accountabilities Academic and Student Engagement Support (60%) Provide high quality administrative and academic support for SEUP programs at the Da Nang campus, ensuring consistent service coverage during evenings and weekends. Coordinate team schedules to maintain timely support for teachers, students, and Teaching Assistants. Maintain strong working knowledge of SEUP products, student processes, and RMIT policies to provide accurate, transparent guidance to students and parents. Respond professionally to enquiries, collaborating with the Centre Manager, SRM teams, and relevant stakeholders to ensure timely resolution, appropriate escalation, and ongoing contribution to continuous improvement across academic and professional teams. Coordinate core class related processes, including student records management, preparation of teaching materials, and support for teaching staff during lessons, assessments, course survey and academic activities. Prepare, coordinate, and maintain teaching resources and academic equipment, ensuring teaching folders, class notice boards, mock test materials, attendance records, and classroom equipment are properly organised, available, securely stored, and promptly repaired in collaboration with relevant departments. Coach and support the Teaching Assistant team on academic related matters to ensure consistent service quality, alignment with teaching requirements, and effective support for classroom delivery. Monitor student progress, collaborate with teaching staff and the Centre Manager to uphold high standards of learning resources Contribute to student retention outcomes by contributing and supporting execution of initiatives that enhance student engagement and academic outcomes Oversee the Independent Learning Centre, including library book circulation, overdue management, inductions, and library related activities, ensuring adherence to national resource standards. Perform other duties assigned by the SEUP Da Nang Centre Manager to support program delivery. Office Administration Support (30%) Assist with procurement processes by obtaining quotations from local suppliers and preparing purchase requisitions (PRs) and payment vouchers (PVs) under the supervision of the Student Engagement and Administrative Officer. Prepare timesheets and supporting documentation for casual staff payments, as well as PVs for staff per diems and reimbursements, ensuring compliance with financial procedures. Marketing and Event Support (10%) Support the planning, coordination, and execution of marketing events and placement testing sessions in collaboration with Marketing and PAS teams, including administrative tasks before, during, and after events. Assist with logistics and operational requirements for marketing activities to ensure smooth delivery and alignment with recruitment objectives. Key Selection Criteria Bachelor’s degree in education, English Language majors, or relevant field. Minimum 2- year experience in academic administrative tasks or customer service roles. Proficiency in Microsoft Office and familiarity with digital tools in teaching and learning Strong customer service ethics with the ability to provide professional, timely, accurate, and high-quality advice in line with organisational and compliance requirements. Excellent interpersonal, negotiation, and cross-cultural communication skills Highly organised, detail-oriented, and able to manage multiple tasks in a fast-paced environment. Strong planning, problem-solving, and coordination skills to implement tasks effectively and on time. Demonstrated ability to work independently and collaboratively as part of a team. Experience in teaching/coaching or academic administration is an advantage.
