KNOWLEDGE AND EXPERIENCE - ESSENTIAL:

  • Previous Experience: Some experience in a similar administrative role is preferred but not essential. We welcome applications from recent graduates or individuals looking to start their career in administration.
  • IT Skills: Basic practical IT skills, particularly in using Excel and other accounting software. Training will be provided.
  • Organizational Skills: Strong organizational and administrative skills, with the ability to manage multiple tasks and priorities.
  • Communication Skills: An effective communication style appropriate to the audience and situation, with excellent customer service capabilities.
  • Attention to Detail: Excellent attention to detail, ensuring accuracy in all tasks.
  • Teamwork and Initiative: Ability to work on your own initiative as well as part of a team, demonstrating flexibility and a willingness to learn.

Responsibilities

ROLE OVERVIEW

We are seeking a motivated and detail-oriented Administrative Assistant to join our Student Fees team within the Finance department. This entry-level role is perfect for someone looking to start their career in administration and gain valuable experience in a dynamic and supportive environment. You will play a crucial role in supporting the Student Fees function and contributing to the smooth operation of our undergraduate and postgraduate activities.

JOB RESPONSIBILITIES

Specifically, the duties of the post are:

  • Administration Support: Assist with the comprehensive administration of the RCSI Fees area within the Fees Office. This includes maintaining accurate records and ensuring all documentation is up-to-date.
  • Handling Queries: Respond to a high volume of student and funder queries via email, phone, and in-person, providing excellent customer service and ensuring timely resolutions.
  • Billing and Collection: Support the billing and collection processes for both undergraduate and postgraduate students, ensuring accuracy and efficiency.
  • Email Monitoring: Monitor several email inboxes, ensuring all inquiries are addressed promptly and professionally.
  • US Loan Administration: Assist with the administration of US loans, following strict guidelines and ensuring compliance with all relevant regulations.
  • Moodle Support: Help with Moodle queries and setup, providing assistance to students and staff as needed.
  • Managing State Funded Loans: Assist in managing SUSI and other state-funded loan companies, ensuring all processes are followed correctly.
  • Bank Processing: Process daily bank transactions, ensuring all payments are recorded accurately.
  • Representation: Represent the best interests of RCSI at all times, maintaining a professional and positive image.
  • Additional Duties: Perform other administrative duties as required to support the team and department.
