The Role and the Department The Student Immigration and Funding Service (SIFS) works with internal colleagues and external partners to provide high quality advice and support relating to immigration legislation and financial support for both undergraduate and postgraduate students and applicants. The immigration services provided by SIFS include: · Provision of Student immigration advice to students, academic and professional services staff. · UKVI compliance and oversight of policy and procedure linked to UKVI’s Student Sponsor Guidance. · Right to study checks for all students subject to immigration regulation. · Monitoring of academic engagement for Student visa holders. · Use of UKVI’s Sponsor Management System (SMS) to report changes to student circumstance. · Provision of Confirmation of Acceptance for Studies (CAS) for continuing students. · Checking the working hours of Student visa holders who are employed by the University. The Service is part of the Student & Academic Services Directorate (SASD). The Directorate provides a professional administrative support service to university staff, students and applicants. The Academic Registrar is the head of the Directorate and is responsible to the Vice Provost for its management. The following services fall under the SASD’s remit: · Access and Engagement · Curriculum, Learning and Assessment · Recruitment and Admissions · Student Immigration and Funding · Student Registry All of these services are based at either the Palatine Centre or Mountjoy Centre in Durham City. What you need to demonstrate when you apply To be considered for this role, here are the skills/experience we’re looking for: Qualifications/Experience 1. Five GCSEs at least Grade C or level four (or equivalent) including English Language and Mathematics or equivalent experience. 2. Experience of working in a busy office environment delivering front line administrative services or having relevant qualifications for the role. 3. Experience of managing time to meet deadlines and working under pressure without compromising on quality. Skills/Abilities/Knowledge 4. Good spoken and written communication skills. 5. Good digital skills including experience in using digital devices and apps including the internet, email, digital communication tools, Microsoft 365 applications. 6. Committed to continuing professional development. 7. Ability to solve problems and resolve straightforward issues yourself and as part of a team. 8. Ability to provide advice and guidance to a range of colleagues and customers. Desirable Criteria 1. Knowledge/experience of Student immigration. 2. Experience of using UKVI’s Sponsor Management System (SMS). 3. Experience of working in the university sector. Administer ATAS (Academic Technology Approval Scheme) documentation. This includes recording ATAS certificates, updating the student record and escalating cases where applicable ATAS documentation is not present. Use the university’s student records system (Banner) to monitor and maintain accurate and up to date student records related to immigration status. Use of Access databases to extract information from the student records system. Support in other areas within the Student Immigration team, such as – issuing CAS (Confirmation of Acceptance for Studies) for continuing students, administration of employment checks for Student visa holders and reporting changes in student circumstance to UKVI. Support in the administration of the university’s academic engagement requirements, contacting Student visa holders who have been issued formal academic warnings and reporting this back to the Student Immigration Manager. Work collaboratively with the Student Immigration colleagues on a range of other administrative tasks as and when required. Provide reception cover on a rota basis to signpost students to sources of advice provided across the University. It is expected that this duty will be 1 day per working week, although this could increase at peak times. Teamwork · Resolve queries and respond to requests for information and advice and bring any complex issues to the attention of more experienced team members. · Help your team organise and provide administrative services that support key activities undertaken within your service and contribute to team planning activities. · Help your team ensure that products and services are adapted in response to feedback and to meet changing demands. Communication/Liaison · Seek feedback from students, staff and anyone else that you come across as part of your role on their requirements from your service to ensure that their reasonable expectations are being met. · Record information and respond to queries which you receive. · Liaise with relevant colleagues and members of SIFS to ensure that services are being delivered in an efficient and collaborative way. · Provide support for meetings, working groups and committees, such preparing and sending documents for meetings, drafting reports and taking minutes. · Any other reasonable duties.
