Employment Status: Full time Shift: Day (United States of America) Facility: 1 Riverside Cir - Roanoke Requisition Number: R158096 Student Services Advisor (Open) How You’ll Help Transform Healthcare: The Student Services Advisor manages shared and designated student groups, schools, programs and daily operations of student opportunities provided across the organization. Students include clinical and non-clinical learners from domestic and international institutions. Responsible for student vetting, scheduling, and onboarding, including requirements and orientation. Serves as the primary point of contact for students and affiliated schools and programs and functions as a liaison to organizational leadership. Communicates with key stakeholders to prioritize needs, facilitate student access, and resolve issues related to student experiences. Provides operational oversight and support for a standardized, centralized student services team. Consults with teams throughout the organization regarding student opportunity processes and requirements. Manages student access and overall experience at Carilion Clinic. Responsible for day-to-day administration of student opportunities, including issue resolution, communication, and effective use of resources. Develops, implements, and administers policies and procedures related to student services. Provides guidance to faculty, staff, students, schools and programs regarding learning opportunity policies and expectations. Ensures regulatory and legal compliance associated with student opportunities and affiliations. Works with Carilion Corporate Counsel to maintain institutional agreements and conducts periodic audits for compliance. Maintains working knowledge of LCME and other regulatory requirements affecting medical students. Manages complex scheduling and placement endeavors for clinical and non-clinical student experiences. Analytical and organizational skills apply to develop and maintain schedules supporting clinical rotations, internships, and observational experiences. Plans and delivers student orientation opportunities in accordance with organizational and regulatory requirements. Represents the student services team to internal teams, educational institutions, and community partners. Prepares written materials and presentations and provides input to leadership regarding program improvements. Manages the student application process, including application review, collaborates with internal teams on placement decisions, managing onboarding requirements, and provides housing resources. Maintains knowledge of VISA requirements and ensures compliance for international students. Advises and supports students, schools and programs in problem-solving and addresses professionalism or behavioral concerns in accordance with Carilion policies and procedures. Prepares, analyzes, and distributes financial, enrollment, and institutional data as requested. Participates in strategic planning at the department level. Responsible for participation in operational budget planning, including supply and equipment needs, billing, and payments related to student rotations, if applicable. Monitors financial performance and provides reports as requested. Position works under limited supervision and exercises independent judgment within established policies and procedures in administering student opportunities. Regular interaction with leadership, academic partners, program directors, and external agencies is required. Work involves application of regulatory knowledge, project management, and organizational skills to support a high volume of student opportunities. Position represents the student opportunities team to students, educational institutions, and community partners. What We Require: Education: Bachelor’s degree in business, communication, or a related field required, or equivalent combination of education and experience (eight years Experience: 3 years of experience in business, academia, or related field. Other Minimum Qualifications: Knowledge of medical terminology; computer software proficiency; strong organizational, presentation, and problem-solving skills. Ability to work independently and manage responsibilities with minimal supervision. Demonstrated experience in project management, communication, and managing multiple priorities in a high-volume environment.
