Student Support Administrative Assistant 2025-26 (Full-Time)Community Charter School of Cambridge (CCSC) is a charter public school that serves students in grades 6-12. Please visit www.ccscambridge.org to learn more about our work. This is a year-round role with vacation time built in, along with time off during all-school vacations and holidays. The Student Support Administrative Assistant reports directly to the Director of Student Support, and their responsibilities include:- Managing all referrals for special education evaluations and executing 45-day referrals in collaboration with Director of Student Support, school psychologist, and other relevant participants- Working with parents/guardians and stakeholders to schedule Initial and 3-Year Reevaluation IEP and 504 meetings- Using a rubric to provide feedback to Special Education Teachers on IEP development and quarterly progress notes (CCSC will provide training and support for candidates who do not have experience in this area)- Managing mailings for Student Supports departments (special education, English learners, and counseling)- Preparing materials for Initial and 3-Year Reevaluation IEP meetings, such as dissemination of evaluation reports to all stakeholders by mandated deadlines- Ensuring all special education and 504 related paperwork is properly maintained, including individual student files, completed evaluation reports/materials, Team meeting documents - Tracking IEP and 504 Plan deadlines utilizing SPEDHub and Google Calendar reminders- Arranging document translations and scheduling in-person translators for Team meetings and Student Support events- Sending and tracking receipt of proposed IEPs and 504 Plans to families- Communicating with appropriate stakeholders regarding newly implemented IEPs and 504 Plans and tracking staff sign-off forms- Processing all record requests for newly enrolled and exiting students- Under direction of Director of Student Support, liaising with Bureau of Special Education Appeals, including correspondence regarding compliance-related matters- Supporting with triennial DESE Tiered Focused Monitoring reviews- Supporting Director of Student Support, Counseling Department, and English Learners Coordinator with family communication and event planning regarding Student Support events such as Special Education Family Advisory Council (SEFAC), English Learners Family Advisory Council (ELFAC), Wellness Day, and various awareness months- Complete other duties, as assigned and fulfill regular CCSC staff responsibilities as assigned by supervisor and/or Head of SchoolQualifications:- Associates Degree Required; Bachelors Degree Preferred- Strong organizational skills and written communication skills- Excellent attention to detail- Ability to multi-task, including multiple projects at once- Ability to handle confidential information with discretion- Proficient with Google Workspace and able to to learn new software and technology quickly- Willingness to learn Massachusetts Special Education and regulationsCompensation:$57,000 - $61,000, depending on experienceHow to ApplySend a cover letter and resume to Courtney Burns, incoming Director of Student Support, at SECjob@ccscambridge.org with the subject line Student Support Administrative Assistan
