Duties: Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Organizes work by reading and routing correspondence; collecting information; initiating telecommunications. Maintains department schedule by maintaining calendars for department personnel; arranging meetings, conferences, teleconferences, and travel. Completes requests by greeting students, staff, and guests, in person or on the telephone; answering or referring inquiries. Maintains student confidence and protects operations by keeping information confidential. Organizing and servicing meetings (producing agendas and taking minutes). Conduct searches to find needed information, using such sources as the Internet. Coordinate conferences and meetings. Learn to operate new office technologies as they are developed and implemented. Manage projects, and contribute to committee and team work. Prepares reports by collecting information. Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions. Provide training and orientation to new staff. Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. Keeps equipment operational by following manufacturer instructions and established procedures. Secures information by completing database backups. Provides historical reference by utilizing filing and retrieval systems. Maintains technical knowledge by attending educational workshops; reading secretarial publications. Contributes to team effort by accomplishing related results as needed. Assists with timecard management and submits within time frame allotted per center policy. Coordinates activities between departments. Assists with student pay and student clothing allotments as needed. Follows the CDSS plan and Standards of Conduct system daily. Maintains good housekeeping in all areas and complies with safety practices. Complies with all DOL guidelines, OFCCP regulations, Job Corps notices and bulletins, and Center policies and procedures. Models, mentors, monitors appropriate Career Success Standards. Helps students become more employable through continuous reinforcement. Participates in PRH mandated staff training. Failure to participate may result in disciplinary actions up to and including termination. Performs other duties as assigned within the individual’s scope and capabilities. Working knowledge of Microsoft Suite of Applications. Valid state driver’s license. One year related experience.
