SUBCONTRACTS COORDINATOR

Location: Aspen Point Facilities Project – Peace River, Alberta
Start Date: Immediate
Project Duration: Until construction completion (anticipated December 2025)
Schedule: Monday to Saturday, 10-hour days

REQUIRED QUALIFICATIONS

  • 5 or more years of experience in subcontract administration or contract management in construction or energy sectors.
  • Knowledge of contract law and hands-on experience in subcontract formation, claims, and closeout.
  • Previous field-based project experience, ideally in oil & gas or industrial construction.
  • Proficient in Microsoft Office; experience using ERP or contract management systems.
  • Degree in Business, Engineering, Law, or related field preferred.
  • SCMP, PMP, or other designations are considered assets.
Responsibilities
  • Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
  • Maintain and promote a strong environmental compliance culture for all employees, vendors, and customers. Understand and fulfil the environmental roles and responsibilities of the position, as described in applicable plans, procedures, permits, laws, and regulations.
  • Set up and maintain sub-contractor files, documentation, and logs in accordance with established procedures.
  • Initiate, maintain and constantly review and progress reporting requirements of the assigned sub-contracts and, if appropriate, develop the responsibilities and deliverables list with the collaboration of the project and SCM team members.
  • Prepare, proofread and review sub-contractor documents for quality, clarity and proper contractual and business writing.
  • Review all exceptions and identify alternate wording or strategies for Michels’ benefit.
  • Schedule and participate in project and sub-contractor meetings as required.
  • Assist in the facilitation of the process for subcontract designated services, including bidder’s lists, RFP preparation, filing, logging of addenda, clarifications and claims management.
  • If and when required, collaborate in the subcontracts’ formation in collaboration with the Contracts, SCM, Legal and project teams.
  • Proactively anticipate and prepare the subcontract documentation and perform all necessary administrative duties including subcontractor logs, processing of completion certificates, change orders, invoice review and subcontract close out.
  • Perform selective audits of invoicing to ensure contractual terms are met.
  • Assist the SCM and project team in purchasing materials if needed.
