Description

Aptella is looking for a Subscriptions Administrator to join their team. You will be the frontline operational support for our subscription portfolio, ensuring our customers receive a seamless experience from contract creation to renewal. Working closely with Sales Operations, Product Management, Finance, and Customer Success, you will be responsible for the accurate creation, amendment, renewal, and cancellation of subscription contracts in Zuora and Dynamics 365 Finance & Operations (F&O).
You will manage scheduled bill cycles, reconcile subscription data between systems, respond to internal and customer billing enquiries, and monitor contract milestones to ensure timely renewals and upgrades. Your attention to detail, clear communication, and adherence to process will directly impact our revenue integrity, customer retention, and overall service standards.

SKILLS & EXPERIENCE:

  • Proven experience in subscription administration, billing, or contract management.
  • Familiarity with Zuora and Dynamics 365 Finance & Operations is highly regarded.
  • Strong numerical, analytical, and problem-solving skills.
  • Excellent communication skills, with the ability to work collaboratively with multiple stakeholders.
  • Commitment to process adherence, accuracy, and meeting deadlines.

Responsibilities
  • Create, amend, renew, and cancel subscription contracts in Zuora and Dynamics 365 F&O.
  • Run daily bill cycles, review invoices, and ensure all subscriptions are invoiced 30 days in advance.
  • Reconcile subscription data between systems and manage financial processes including clearing reversals and overdue follow-ups.
  • Communicate professionally with customers and internal teams, ensuring accurate and timely information on contract status and billing changes.
  • Work closely with Customer Success Managers (CSMs) and Account Managers to support customer needs, including third-party subscription orders.
  • Provide support for subscription-related queries from customers and internal stakeholders.
  • Report on subscription and billing metrics, highlighting any issues before month-end.
  • Maintain compliance with Work, Health & Safety (WHS) procedures and company policies.
