Job Summary Supervises corporate and international Travel Agents, overseeing their work assignments to ensure coverage of all areas of Agency business. Responsible for independently evaluating, selecting and implementing advanced technological tools to be used to streamline and automate appropriate agency tasks. Designs and implements automated operational processes based on available evolving industry technology. Develops agent technical training and procedures to ensure proper technology application and efficient and cost-effective operation of agency. Independently negotiates hotel and car service contracts for corporate transient travel. Develops and maintains preferred vendor database and international subsidiary travel database. Provides enhanced level of travel service and expertise to VIP clients, including executives and the Mary Kay Ash family. Supervises entry level staff, develops customized training plans based on individual skills, evaluates progress and provides input regarding advancement. Functions as a “trip director” as required to support agency incentive travel promotions. About the Role Responsibilities Supervises, assists and reviews work of corporate and international Travel Agents responsible for the arrangement of all travel and travel related services for Mary Kay Inc. employees and members of the Mary Kay Inc. independent sales force, ensuring optimal comfort for travelers at the least possible cost. Coordinates work flow to ensure that work is distributed evenly and that adequate coverage is maintained to support all facets of Agency business, including travel for corporate employees and ISF incentives. Evaluates and provides performance feedback to staff. Provides enhanced level of travel service and expertise to VIP clients, including executives, key international travelers, and the Mary Kay Ash family. Handles special projects such as small meetings for VIP clients, coordinates arrangements for private special events and assists with VIP travel to corporate events ensuring proper security, safety and comfort. Interprets and applies corporate travel policy. Guides others on appropriate application of policy and procedures for violations and exceptions. Reviews operational procedures, makes recommendations for improvement and implements approved recommendations. Partners with Agency Manager regarding soft skill needs, refining procedures as necessary to encourage adaptation of changes. Trains and develops agency staff on new and existing procedures and technological tools to ensure mastery and efficient operation. Leverages technology to automate routine processes and utilizes manpower effectively for non-routine tasks. Ensures compliance with ARC ticket issuance and report submission mandates. Independently negotiates hotel and car service contracts for corporate transient travel. Develops and maintains preferred vendor database and international subsidiary travel database to assist travel agents with specific details for each international destination: visa requirements, transportation options, approved hotels, etc. Evaluates, selects and implements advanced technological tools to be used to streamline and automate appropriate agency tasks. Evaluates and customizes agency proprietary software applications (Sabre and Ticketing Assistant) to maximize effectiveness and values to the agency. Provides hardware support to the department to troubleshoot issues and determine appropriate support service to contact for repair and/or maintenance. Provides customer service support to resolve any issues related to technological issues or errors. Functions as a “trip director” as required to support agency incentive travel promotions. Travels to attend appropriate industry technology conferences and seminars. This job requires on-site work at a Mary Kay facility. Skills & Experience Experience: 3+ years of experience in Corporate Travel or with a Travel Agency Education: Bachelor/University Degree Additional Skills & Abilities: Mastery of travel agency automated tools (currently native Sabre) with proficiency to troubleshoot systems and applications and reprogram if required to resolve operational issues. Experience booking flights for corporate and executive level employees and working with airlines. Mastery of passport and visa requirements and procedures for all MK international markets. Strong negotiation skills required to evaluate and process appropriate corporate transient hotel and car service contracts and automation licenses. Requires a high level of confidentiality, strong customer service, written and verbal communication skills to interact with a diverse group of individuals, including Chairman, Chairman’s family and staff, corporate executives and Independent National Sales Directors and Sales Directors. Domestic/international overnight travel required approximately 5%25 of work time. Must be able to lift a minimum weight of 20 pounds. Must be able to stand, sit and/or walk for extended periods of time.
