OVERALL SUMMARY

This position will be support role to the supply chain team and process all request promptly and accurately. Major responsibilities will include processing purchase order receipts, data entry, follow up on documents that are pending and distributing documents to accounting. Gathers data and conducts analysis with the goal of improving the organization’s supply chain operations. Identifies underperforming areas in the supply chain and may suggest improvements or resolutions to problems. Assist in the negotiation of supplier contracts or service arrangements.

REQUIRED SKILLS

· Excellent Microsoft Office Excel, Access, Word and PowerPoint (Skilled with Microsoft Excel preferred)
· Analytical with attention to detail and thoroughness on time sensitive matters
· Must be organized, able to work with minimal supervision, and demonstrate ability to multitask, prioritizes daily activities and drive for results
· Maintain effective working relations with internal and external customers
· Ability to respond to internal/external customers tactfully and courteously
· Knowledge of accounting principles as related to procurement and supply chain

Responsibilities

· Responsible for all food safety documents from our suppliers for audits to include raw material specifications, Certificate of Liability, Letter of Guarantee, SMC Food Safety updated, and approved vendor suppliers list
· Coordinate and expedite both internally and externally flow of materials, parts and assemblies while maintaining effective interdepartmental communications
· Daily data entry of all purchase orders of meat products based on confirmations from vendors/ customers
· Data entry of customer weekly updates on raw material
· Work closely with vendors/customers on daily changes to orders and delivery issues.
· Posting of Advanced Shipping Notifications (ASN) into canopy daily to ensure shipping has proper material notification
· Adjust purchase orders to notification of substitutions on meat changes to ensure product can be scanned
· Work with shipping/receiving to enter all cross reference of product codes
· Monitor daily any duplicate cross references to ensure all meat products can be scanned and received
· Enter all vendor purchase orders weekly and all quality assurance special orders
· Daily cycle count of all non-meat raw materials and distribute inventory sheet to Plant Manager and production supervision
· Reorder all non-meat raw materials daily based on counts to meet production needs
· Monitor all drop trailers daily and work with receiving to move to dock doors when needed to be unloaded
· Review daily all packing slips of non-meat raw materials received
· Approve receipts of non-meat invoices with Accounts Payable on price and quantity verification
· Supplier relations to have dual suppliers on all non-meat raw materials
· Backup for Shipping Coordinator on daily inbound delivery schedules of all meat deliveries
· Participate in weekly conference calls with customer, VP, Director of Operations & Plant Manager
· Participates in weekly BBI conference call discussion to cover:
- Ordering of all pork products weekly based on all stores recap
- Monitoring of daily receipts of all non-meat raw materials and follow up for any delivery concerns
- Work with inbound carriers for meat deliveries to ensure appointments are met and rescheduled as needed
- Recap and distribute Packaging Inventory updates to accounting monthly at period end.
- All purchase order maintenance for period end.
- Monitor daily incoming receipts of meat to verify all purchase orders have been delivered
· Works closely with team members to maintain compliance of policies and procedures.
· Generate schedule for strategically purchased raw material to plant managers to reduce shortages to customers
· Coordinate the arrival of all necessary ingredients for scheduled production runs
· Manage inventory age on all raw materials to ensure compliance with customer specifications
· Develop, implement, and maintain inventory cycle count schedule to minimize spoilage
· Communicate inventory discrepancies and reason to accounting department to process adjustment
· Process ownership changes for inventory as needed
· Implement and maintain bill of materials to improve customer fill rate
· Maintain a high degree of communication, cooperation and coordination with assigned departments regarding schedules
· Responsible for packaging/non-meat inventory items (Count daily at Dallas Plant)
